Transcript for "More Mission, Less Administration: Workday's Platform for Nonprofits - September": Hello, everyone. Happy Wednesday morning. Thank you all for joining us. We are going to go ahead and get started in just a moment here. We're gonna let some folks funnel in. Anybody would like to get comfortable, grab your coffee. We will be here for the next sixty minutes and really appreciate everyone joining us. For those of you who are on, just a quick note, there should be a q and a button or a panel that you see on the webinar today. As we are going through, we would love for you to ask any questions within that, panel. If we are not able to get to any of them live within the sixty minutes today, we will certainly follow-up with each of you individually to get you your answers, but we are very excited to show you Workday today. We have quite a bit that we are going to be going through within the next sixty minutes. So if there's anything that you're excited to see or we're hoping to see as well, feel free to send that in the q and a box now. We are gonna go ahead and get started, everyone. If you were joining us late, this recording will certainly be shared. Before we do dive into it and introduce ourselves, I just wanted to take a step back and put ourselves in the position that when it comes to managing your internal systems. If we take, let's say, the week before a board meeting, oftentimes, your finance team is closing the month. You're pulling all of your financial data, those grant statuses, and even your staffing data. On the HR side, you're hiring for new grant funded initiatives. Meanwhile, your program leaders are asking, are we really staffed to be able to deliver on what we promise within these programs? And too often, we understand that the reality is that those answers are scattered across systems and ultimately spreadsheets that require either manual hours of reconciliation or many of your staff's team and time to be working together to make those make sense. Who as nonprofit staff are doing heroic work, not only supporting your mission, but also on the back end, trying to pull it together. And we're using just for your core HR and your finance system slow down what your mission can do. So we're going to be using Workday as the example, but the goal really is simple, is to reduce the administrative, burden and create more capacity for those services that you all as nonprofit leaders have joined your organization ultimately to do. So with that, a few quick introductions how who you're going to be hearing from over the next hour. So my name is Mimi Diekman. I am a nonprofit account executive here at Workday. My role really is I am a architect of your evaluation is the way that I would say it, where I work with you to fully understand what are the problems that your organization is running into and how do we ultimately solve them. How we get there is I work with a lot of very smart folks like Meg and Julian who are going to be showing you both the financials and the HR side of Workday to understand what are the ways that make your organization unique. We understand that with nonprofits, you purchase software in a different way than a for profit company may. But that being said, you still have a lot of complexity that is under the scenes, and we at work there here to advise you whether we're the solution or not on what some of those areas are that you should consider in order to get to a land long term transformation. Nuance and as they get to their portions. But Seeing that. Perfect. So quick product statement here. One thing that out with new features and new functionalities. That being said, we are going to be showing you some exciting stuff today. We just ask that please make any purchasing decisions based on what is currently available. If there is any forward looking functionality, we will do our best to call that out. So how will we be spending the next sixty minutes? I'm gonna go through a quick Workday one zero one. For those of you who have maybe never met Workday or never heard of Workday, it'll be a quick introduction to who we are as a company and what we do, in terms of product. And then we are gonna go into a day in the life of a nonprofit user. Similar to how I started the conversation, we're gonna walk you through what it looks like on the financial side, going through all of your different, financial analytics, understanding what are the different data points, and then we are going to go into the human capital management side as well so you can see how all of that data flows using one consolidated system. And then we will finish off with about five minutes. If there are any questions we haven't gotten to going through, we'll pause for some questions and just set some expectations in terms of follow-up. So for those of you who do not know Work Day or maybe were introduced to Work Day a while back, Work Day as an organization was founded in 2005. And since then, our focus has been on creating a unified cloud based platform rather than assembling a collection of separate products. What that means for you is that your people and financial information can work together in real time, all supported by a common security model, reporting foundation, and workflow engine. Workday is also designed for continuous change. So instead of treating technology as something you purchase and heavily customize and then replace years later, our goal is that Workday is your long term forever home. It's a platform that can be continuously updated and grow with you as your organization does change. And then that's important distinction, especially for nonprofit organizations. You should not be having to choose a starter system for today and assume you will need a different system once you're reporting workforce, grants, or planning needs become more complex. Our goal is that Workday is designed to be, as I mentioned, a forever home, and that's why you'll see some of the stats on the right hand side of a 95% customer satisfaction rating. We really do pride ourselves on keeping our communities happy. And so as we go through this presentation today, one thing that I should note is that everybody that you're speaking to is a part of of our nonprofit team. You're working with a team of experts that oftentimes have come from other nonprofit organizations using Workday to come support others in their adoption of it. So we really do pride ourselves on making you all happy and satisfied, and that does not just happen the day that you go live. We truly do carry on the partnership throughout your lifetime of owning the platform. And so as I mentioned that, many of you probably have heard of Workday if you have in a larger context. Oftentimes, we are misunderstood as a Fortune 500 only company because we have been recognized as a leader within the cloud HCM and ERP space. What I would challenge you there is that my role specifically is I work with small organizations. I work with 500 employees or less. And so while you get the trust of what Fortune 500 companies have built, you're getting the scale and the understanding of what a nonprofit needs to walk through. And so for nonprofits, that's running your general ledger, your payroll, your grants, all of that on a stable and a mature platform. And so as I mentioned, we were started in 2005. As soon as 2007, Workday actually has been working with nonprofit organizations. So we have one of the largest nonprofit user communities, that you all would be able to benefit from. And again, you're working with the team of experts and people who have come from similar companies as your own to be able to solve some of the most unique challenges. And also just to give you time back in your day. We're not forcing, a corporate system to act in nonprofit. You're actually using one that has been shaped by nonprofits. And as I mentioned, I just think this is an interesting slide here. Workday and especially our team has done a lot to work with different organizations in different ways, and we understand that the way that you purchase technology is going to be different than, say, a health care company or a tech company. And so what we've done as a part of our practice is we have bundled the common technology that many organizations are using to be able to, a, provide that at a better price point and work with you in order to fund that, and then, b, to boil down the implementation to ensure that your team feels comfortable, and then we can begin to optimize. So if you leave leaving if you leave this discussion today interested in Workday, we would love to have the conversation of what that looks like for you. And I really do think the best time to look for a new solution is when you do not need a solution. So we appreciate you all joining today, and we'll be happy to answer any questions. Alright. Last few slides here. So as we think about what we will be going through today, you see three different buckets under the Workday umbrella. So we have our HR portion, our planning portion, and our financials. What's different about Workday is that at many other organizations, these may be different part products that have been acquired and piecemealed together on the back end. With Workday, it is truly one single system. So what you see at the bottom is you have a single source of truth for reporting, for data, for auditability, compliance, and all of that is basically handled through user permissions and how we give access to the different employees within your team. But as you think about flowing data from your payroll to your benefits to creating a new onboarding system, none of that lives within different piecemeal systems that your IT team is then reconciling and trying to report on. You truly have flexibility when you can think of all these different areas of your business under one platform. So we will be focusing on primarily the HR and financial system today. But the last thing that I wanna point out, and we won't spend too much time talking about this, is just the buzzword of AI that we know many companies are being forced to think about and how you're adopting different AI functionality in order to make your business grow. That is something that here at Workday we're doing quite differently, and the reason we are able to do that differently is because of that single source of truth. With Workday's AI, which we will show you a few areas today, it is going to be different in the sense that you are not pulling that data out of an external system and putting it into, say, a chat GPT or some third party AI. Workday understands who your employee is, what their role is, and it is able to audit everything that we are doing. So when you think about AI in terms of being able to give it the correct context, that's something that Workday is doing quite differently within the, ecosystem. Excuse me. And so with that, we do work with a lot of different types of organizations. This is really just to allude that if there is an organization that you would like to speak to, I assure you that we would be happy to connect you with anyone within the the network of the Workday community. As I said earlier, we truly do hope that as you think about evolving systems that Workday can be a forever home. The reality is nobody likes to go through a, an evaluation and b, an implementation. And so when you think about consolidating systems or changing systems, with Workday, we wanna be the foundation that your team can certainly grow. So we'll be showing you both the HR and the financials platform today. Keep in mind that you don't have to use both. We have many organizations that start with one and grow with the other, and we also have many organizations that do both at the same time. So our goal today is to show you what Workday is and what it could look like for your your organization, but please keep in mind we'd be happy to answer any specific questions. And so with that, you have certainly heard enough from me. I am going to pass it over to my counterparts so that we can get into the fun stuff. Alright. Thank you, Mimi. So I'm going to go ahead and share my screen. And, Meg, while you're doing that last call out, if you did happen to join a few minutes late, team, if there are any questions that you have throughout our presentation today, please feel free to send them in the q and a. We have a team backstage that will be answering those, or we will try to stop throughout the presentation. Thank you, Mike. Perfect. All you. Thank you so much. Alright. Hi. My name is Meg Adams. I am a financial solution consultant here at Workday on the nonprofit team. I've been at Workday for two years now. But prior to, I was a Workday customer for four years. And I've been in the nonprofit industry for about fifteen years, lastly, as an accounting manager at a Boston based nonprofit. So I am very excited to walk through Workday financials at a high level overview with you. So I'm gonna start with an overview of Workday and how we navigate through it. And what you're gonna see is that Workday uses the same patterns no matter if you're in finance, expenses, or HR. And what's different about Workday is that it isn't just finance data sitting next to HR data or analytics sitting on top of ERP data. It's one operating model, one security model, and one workflow engine. So it's gonna give you that single source of truth that you're looking for. And that matters to finance leaders because every click that you see today is connected. You'll have your transaction that's connected to accounting, accounting that's connected to reporting, and report reporting is going to be secured by role. And all of the approvals that you see and the workflow engine are automatically captured in Workday's always on audit. So first, here we can see the home page, which I'll be using frequently. So we have our menu and our shortcuts down here, which is gonna help your employees, and be able to navigate throughout the system based on their roles. And so they're only going to be able to see what they need. Then we have our cards here giving your employees one click access into things that they do frequently like approvals. You could also surface dashboards as your home page as well so you don't have to go hunting for key metrics. And then for an easy way to search throughout Workday, we have our global search bar. You can search for anything that you're looking for within Workday without having to remember a menu path, and most users just start typing what they need here in the search bar. And then lastly, we have our inbox, which is going to have all of your approvals and to dos consolidated in one area no matter if it's finance or HR, making it a lot easier for you and your team to get your work done. Now Workday is going to deliver an intuitive experience to you and your employees just like the apps that you're using on a day to day basis. So by eliminating the need for extensive training sessions, you're gonna be able to accelerate the adoption of using Workday and making it easier for people to get into the system and be productive right away. Now with Workday, your users are going to be able to get their work done, and they don't have to go looking for work. Workday is going to bring the work directly to them. So now that we're acquainted with how you can navigate throughout Workday, let's imagine the day in the life of a finance professional in a nonprofit organization. So as a executive, you need to be able to understand your organization's financial health, be able to report to the board and your funders with confidence, and then keep your operations lean so more dollars go to your mission. All of this on top of everything that's on your plate already. So here in our Finance three sixty dashboard, you're gonna be able to bring in, external data from third party systems like your CRM system and have that right next to your spend that's in Workday. And now, usually, bringing in all of this information from different areas is really hard. You have to spend days gathering data from one system to another. But as you can see with Workday, you can have this information side by side. Additionally, as you're coming in, you're going to be able to have easy access to your financial reports or even key metrics like how your program service revenue is doing. This way, you can quickly, at a glance, see if some programs are doing better than others, then you can have that internal conversation on whether or not you need to move staff from one program to another. When it comes to getting all of this information, all of this is going to be real time for you. So as soon as a transaction posts, it's going to be available for you to come in and start analyzing. And now with Workday's multidimensional general ledger, you're gonna start to be able to analyze all of your different types of information by all of these different types of dimensions, as you're reviewing. So you can come in, easily review some of your professional services by suppliers, and see where and who you're spending money with. So in many systems, you'll see you'll find that reporting is only as current as the current batch or the latest extract or that maybe you're doing all of your reporting in a data warehouse. So since Workday's reporting is native to the transaction within Workday, you're going to be able to report on it immediately. So once something is approved, it's immediately available for reporting. That means that you can check your financial performance on any day of the month and not having to wait until month end so you can make adjustments early, not after the fact. So here, Workday is gonna be able to pull all of that information together so you can check your financial health, in one single view. Now that since Workday is serving as a unified system for all of your financial and operational needs, Workday eliminates the need to reconcile your information from one system to another, and you don't have to question the accuracy of your reports. The consolidation of all of your information together provides your organization with enhanced visibility and improved reporting capabilities. For nonprofits like yours, that matters because financial visibility is not just about profitability. It's about stewardship. You need to know how much funding that has come in, how much you have spent, how much is being is restricted, and whether or not your dollars are going towards your mission. So I just wanna pause here really quickly and see if there are any questions that have come in through the chat. And we do encourage you to ask those questions, using the q and a feature, so we can answer them in real time. Yes, Mimi? Faye. We have yes. We had one question at the beginning, which you did just show a bit of, but maybe if you wanted to elaborate on. I was just mentioning that a team has a lot of spreadsheets. And so to your point, they're downloading a lot of that from different systems for budgeting and reporting. They were wondering just overall how their finance team Workday gave them a clear view of that, specifically with budgeting and spending. Yes. So with Workday, you're gonna be able to democratize your data and giving everyone access secured by their role. And because Workday is a single system, you'll be able to have your finances like you're seeing here alongside your budget as well, which we're actually going to see in the next section. So being able to have your actuals next to your budget in real time using Workday Adaptive Planning, you'd be able to have a single view of all of that. So you can monitor your spend, in real time as as you're incurring your expenses. Alright. Any other questions, Mimi? We have a few in there, but I think for time permitting, let's continue, Collin. We'll get to them at the. end. Perfect. So as, you know, we're thinking about nonprofits and having to manage a tangle of system, so a system for your GL, maybe a system for grants, for payroll, your spreadsheets everywhere. Each system has its own version of Booth. So let's talk about how Workday is a single source of truth that's going to reduce the reconciliation, eliminates conflicting version of your reports, and gives your leadership team a common trusted view of the organization. So here, we have our call center manager dashboard, and we're able to come in, see our numbers in real time all the way from encumbrances through your actuals, and we can even see how we're faring against our budget. Now just like you saw before, we're able to drill into these numbers and analyze them in ways that are meaningful for us so we can answer the questions. So whether you're not, you're in a board meeting and if your board asks questions, we're able to come in and see all of this data. So you can curiously click throughout getting down into those source details. Now, Workday isn't going to strip away any of your details. All of those dimensions are going to post to your general ledger, which allows you to report on this. And then you can even get down into those transaction level details, and we can take a look at the supplier invoice that is making up the numbers of these reports. So as we're coming in, we're going to be able to see each amount here as well. And we can not only see the amount in the invoice that's within Workday, but we're also going to be able to compare it against the actual PDF invoice that came in. So here, we can have a side by side comparison of the two, of the PDF supporting documentation next to the actual supplier invoice. And here we go. So when it comes to your your financial statements, being able to review your statement of activities is important. So most accounting softwares are going to be able to do reporting based on, on a statement of activities. But the question is, can you trust this report, and how accurate is it, and how secure is it for different roles? So in Workday, you'll have easy access to these reports. And because Workday Financials and HCM are in the same system, you're going to be able to analyze your statement of activities by labor optimize by labor and positions here as well. So you can come in if you wanted to see who you're spending your payroll on. You're able to see that information here as well as positions. So you can easily come in and see all of this information because we are that single source of truth. Now with Workday, you're not gonna have to rely on IT or any other consultants to pull your reports. You'll be able to do all of that information here for you as well. Now here we go. Sorry. I'm having a little bit of a technical difficulty where my mouse doesn't want to leave my screen. Where we go? There we go. Who doesn't love a webinar, without some technical difficulties? Thank you very much. If you need to, unshare and just refresh, feel free. We can use this. as a slight intermission, everyone. Thank you. do have a few questions, but I think Meg would be the one to answer those. So if anyone wants to go grab just a cup of coffee or a quick, cup of water, we will be back on in hopefully a minute. One minute. I'm so sorry. No worries. I feel like it could be a Monday. Here we go. I am almost there. All good. I did see one question too that I can answer, Alright. from the beginning. There was one question around just when Meg was showing that home screen around if it is able to be customized. So the answer to that is absolutely. It will be customized depending on your role, for example. So you as an HR person would not be seen, for example, the finance tabs. What you also will have the ability to do is that we can customize the actual home screen to the users, so the user would be able to play around with that. I think one big piece too that I should call out about Workday is oftentimes people say that Workday can be complicated in terms of customization. I would argue that it is configuration rather than customization. So one thing that we talk about oftentimes if given the opportunity to have a follow-up demonstration would be our custom business process framework. And so, essentially, our custom business process framework is how organizations make Workday their own. That is not a customization effort. That is truly a drag and drop effort to be able to build processes that pull in your different components of your business. So all of that is to be said, yes, the home screen is configurable. Workday itself is very configurable, but our goal as the team is to work with you to make sure that we're showing you the basics and really getting your team comfortable and understanding what Workday does from a foundational level before we start talking about configuring and making things potentially in your own. So, good questions. Mhmm. And as soon as my screen loads, we are back at it. There we go. Thank you. I'm glad we were able to leave some time for some questions, and get it all answered. So back on our financial statements. So you're able to drill in and be able to analyze all of your statements in a single view. And so what this adds up to is that it's not only faster reporting, but it's going to be able to give your finance team the ability to do strategic analysis instead of gathering your data from different systems across the board. And so a single source of truth means that your stakeholders, so your board members, your donors, your auditors are gonna get consistent, trustworthy data every single time. You have one consistent audible trail from commitments to spend, and Workday helps ensure that they're not getting a slightly different version of the truth. What we find and our customers have found is that's how you are able to build confidence and demonstrate stewardship within your organization. So now with other nonprofit finance teams, the real opportunity is not just better data, but it's also taking the manual repetitive work off of your plate so your team can operate at a true strategic partner. So with Workday, automation, it doesn't just live outside the finance system. It's embedded directly within the system where the same place where your transactions, your supporting documents, security, and audit trail already live. And so your finance teams might be drowning in manual processes, you know, reconciling those spreadsheets or chasing approvals. Well, all of that is going to come into Workday's inbox. So here, instead of having to chase down those approvals or any tasks that you need to do within the system, they'll all come consolidated here. As you can see, I have an absence request waiting to be approved and an expense report. So no matter what area of Workday you're coming from, it's all going to be here in the inbox. So if we take a look at this expense report, the first thing you're gonna notice are these fly in analytics. So because Workday is that single system, you can have reporting inside a business process, your workflow. So as a manager, when I'm coming in to review expense reports, I wanna see what expenses they, have been spending in the last twelve months. So I can come in and I can even start to drill in, throughout these reports. And then I can also see if these employees are consistently submitting expenses that are out of policy and what any of those policy violations were. So now instead of having to go dig into the last expense reports or, you know, go talk to somebody, I have all the information here at my fingertips to make a data driven decision on whether or not I can approve this report. So here, we can easily come in, see a summarized view of all of the expenses, or come in and see all of the detailed information coming in here as well. So with Workday, our AI is embedded into the system, meaning that it's going to understand the context of your employees and the security of your employees. So when it comes to expense, reports and trying to identify fraud or high risk items, it's going to be able to understand the context of your organization. So for example, here, we can see that we have a miscellaneous expense item and based on machine learning, it's letting us know that this item should potentially be a conference fee. So we're able to make the decision on whether or not we wanna approve this or send this back. And then the same thing goes for lodging. If there are any anomaly amounts, so if this hotel expense is more expensive than historical spending, it's going to be able to flag this, and you can make a choice on whether or not you wanna approve it. So what we'll do here is we'll follow this through and we'll approve it, and we'll see what the real time posting looks like in real life in real time. So here we have our expense management dashboard where we're going to be able to analyze all of our spend in a single place. So we can see your top expense items, expenses by cost center. We can even see how long it takes for us to approve an expense report because the business process framework is also in the same system as reporting. So as we drill into these amounts, we're able to use the dimensions that are part of the expense report like hotel. We can come in and even drill down by worker and see all of this information here. And we can see that we have a lot of different types of employees managing their spend when it comes to Marriott. And then now we can see the expense report that was just submitted for the for the hotel here all in real time. Now we're also able to view our workers. And, you know, if we wanted to talk to their manager, have a discussion on why they were spending $18.25 at for one single night at a hotel, we have this information at our fingertips. So we can have our manager information here because it is that unified platform with HR, and then we can also see the organizational chart here and, you know, see where they sit within the organization. So this is one of the benefits of having, your HR and your finance all in one single platform and being able to review everything, from a secured role here. So now we can see that this is going to help your finance team immediately know who to talk to and where they sit in the organization, and they don't have to wait until month end. They're able to, correct in real time, and it's going to help change the way that your finance team operates. So you now have real time visibility, one trusted data foundation, and governed self-service across your organization. And then plus you have embedded controls and AI that works in the context of your employees. So for a nonprofit, what that means is that you're gonna be able to spend less time reconciling and chasing information and more time stewarding your resources towards your mission. And so what you're gonna see next is how this not only applies to finance, but HR as well. So we covered a lot here. Were there any other outstanding questions, or should I hand it over to Julian? Alright. All you, Julian. Yes. Time permitting. Let's hand it over to Julian, and we will see what time we have left at the end. Thank you, Meg. Very good. Thank you very much, Meg. So we really we understand Big organizations face. This usually leads to an expensive landscape with multiple systems and plenty of manual processes in between. Now as we transition from financials to HR, think of all the ways your current separate tool slow you down, especially when it's a process that touches both HR and finance, like allocations against grants. You know, Meg already talked about that a bit. And what would it do for your organization if everyone could on your mission? Now we'll highlight a few, not all areas of Onboarding, a critical first chapter of every employee. It's all about speed to mission, setting the right tone for your employees, and also driving down admin costs by automating a lot of this labor intensive process. So right now, logged in as myself, I hired myself just to make it easy. This is the first time I'm logging in here into Workday. And what you see right away, this looks the same as what we saw from X point of view on the finance side, but shows quickly what's going on, where we're at in the step, as well as the various tasks that we actually hires. There could be embedded videos. There can be questions like, how do I sip an expense report? When do I get paid for the first time? All of this, a new hire, you know, might be wondering about, and they got it all right here in a single place. However, those actual tasks they need to perform, they will be in the inbox. So similar or exactly the same inbox you saw from the finance perspective, It's that same place. Every single task and work data that has to be completed will end up right here in that inbox. So to, you know, set up a bank or whether it's something like acknowledging an employee handbook, loading documents and putting a wet signature on it and uploading them, whatever that is that you need as part of the onboarding process can be easily configured into a flow that makes sense for you in the order you want your employees to see them, And, you know, they could be staggered too. So if you don't want 13 tasks all in one inbox for your new hires, you can put them into batches and prioritize them exactly as you see fit. Alright. Now one more example real quick here, and that would be, of course, something like an I-nine form. Right? We already have details from the Canada profile, so we didn't really cover recruiting here, but all the details we have from the Canada profile naturally transitions into the employee profile. And then we don't have to ask for that same data again. There is no duplicate data entry. There is not even integration. As someone gets hired, all that data automatically transitions into the employee profile and is instantly available for processes like I-nine or, again, those those additional details in emergency contact can be added here, document reviews all in one place. Now this can also happen before day one. That it could even be a text message that Workday sends to your new hires in two weeks in advance, and they can have some of those tasks already in their inbox even before day one, before they have a corporate login and account into Workday. All of that work they can do and therefore really accelerate how quickly your employees can be productive and can focus on the mission and the people they serve. Now, just like new hires benefits from doing some or all of this on the mobile device, right here we're looking at it on the desktop, but all of this is available on mobile as well. And similarly for employees, it's also key to be able to do a lot of this on the mobile device because, you know, many of our nonprofit customers have a good chunk of their employees not sitting in front of desks. They're visiting people. They are, you know, out in the communities, and they they have their phone with them, but that's it. So the more they can do that way, the better. So now as we transition to an employee, we're also transitioning to my mobile device right here. This happens to be an iPhone. Works the same exact way on an Android device. There's one app that covers everything needed from an HR and finance perspective. And so as an employee, for example, is is out and about, you know, one typical thing they might need to do is is track some time or clock in. And they can easily do that right here from their mobile device, and you have full control over how that should look like, including geofencing if needed. You saw that very briefly pop up right here where it showed that I'm in the right spot, so that allows me to check-in. And based on your rounding rules and everything that you can easily configure, as well as potentially multiple positions, we can automate how that flows to payroll and the GL. And that includes things like overriding what that time is spent against. For example, it could be time that's allocated against a specific grant. And from that point on, from the timesheet, everything else is automated. There is no integrations. There is no data that has to move from one system to another or even from one module to another. As soon as we attach a grant to that time block, that will be available in payroll and in the financial reporting where, obviously, we have a lot more follow-up steps on this. Now, with that, the easy piece is doing, for example, check-in, clock in right on the mobile device. But Workday is not just available on the Workday app. Employees can also do some of this in natural workspaces like Microsoft Teams or Slacks or Slack and find things easily, getting tasks done efficiently. That means your employees can focus more on their mission and the employee they serve. And all of that comes with an audit trail. So any transaction we do right here is going to be automatically tracked and available in a full detailed audit trail with who did what and when. When did Ben clock in exactly and where, you know, which overrides did apply like grants, cost centers, locations. All of that will be very easily available. Alright. So now the next thing an employee might want to do is just take a look at their benefits, their payroll information, all of that in one place. And Workday, of course, has that. Right? And most HR applications can pull up a payslip on a mobile device, but Workday takes it a step further than that. So in the benefits and pay hub, employees have again, of course, they have accept access to their payslips and their payroll details, but they can also look at it in a year by date, year to date view. They can also take a look at this just from their taxes, from their deduction point of view, and all of that is easily visible right here on the screen, not just in a PDF version of their payslip. Right? So that's all gonna be accessible right here for the managers, for the employees, whoever needs to look at their payslips. And what we'll also see here, oftentimes nonprofits may not be able to offer top dollar for certain positions, but what Workday then does to help with this is give you really that full picture, give your employees that full picture, not just their salary, their regular pay, right, but also that full benefits point of view and additional pay components, whether that's allowances, anything that goes into the total compensation package can be easily visible to employees, giving them that full picture and not just directly the hourly rate, which which can miss some of those key components that employees are getting. And this could also be the place when employee, right on their mobile device, takes care of open enrollment or a life event. Again, they don't have to pull up a computer to take care of these tasks. Employees will haul of that will have all of that access right at their fingertips on a mobile device. And as we get into benefit elections, Workday also offers a benefit agent that can help you with decision making. It can help employees compare plans side by side based on data that the employee puts in, and then you can recommend a specific plan if you have multiple that you're offering to your employees. Now speaking of getting help to employees, you know, that's not just while they're in a process like open enrollment, but also just generally speaking, Workday has the self-service agent embedded right in the app as well as on the desktop, of course. And, again, this is available through other natural workspaces too, Teams, Slack, and Workday even allows other agents. For example, if you were if you were to use Microsoft Copilot, Microsoft Copilot can directly call the Workday self-service agent and retrieve some of that information that you see right here. So whether that's things like, asking what is my PTO balance, something simple like that. A Workday, the self-service agent, again, regardless of whether we're doing this directly in the Workday app or via Microsoft Teams or another app like that, or through another agent that you might be using company or organization wide. Either way, Workday can retrieve that information in natural language, just like people are now getting more and more used to from their personal lives and in other areas. So here we see the time off balance showing exactly just those time off components that this l l employee is eligible for, but the self-service agent can do a lot more. They can pull up, for example, simple questions like, what is my next shift? Or pull up all the feedback, the anytime feedback I received as an employee. Very easy to do. And here we see it now summarized, again, by AI. This is giving, you know, not just the full text, but a summary of what that feedback was. We also can ask simply, when am I getting paid next? And really, what this does is alleviates a lot of that, the simple questions that HR is often bogged down with, right? Employees can get that help themselves via the self-service agent, via easy to use app, and therefore they need to reach out to HR much less frequently and can get that help quicker too. Now, employees of course are really critical or really crucial, but managers are also the lifeblood of many nonprofits and they don't have it easy. They have multiple hats on. They are people leaders. They're also often very involved in the day to day operations of their nonprofit, right, and serving their communities. So it's key that managers have visibility, very quick and easy access on the mobile device as well, but also on the desktop into things that relate to their team. So for example, here we see the Manager Insights Hub, a dedicated purpose built dashboard for managers that collects information from various areas of HR, like performance, operational metrics, all in one place, and it can highlight a couple reports that might be most frequently used by the manager. So if they wanted to drill in and see how much are we spending on what type of worker versus employee versus contingent worker or maybe by cost center, we can easily pull up and drill into the reports just like you saw on the finance side as Meg showed a moment ago. Or if we needed to see what certifications are expiring. This is often very crucial for nonprofits because many of those jobs require certain certifications for compliance reasons. Workday can make it very easy to track when does something expire. And And it's not just looking at a report, it can also directly push notifications into managers inboxes, send an email, a push notification that there are expiring certifications coming up so they can act on it quickly. Or if it's something like taking a quick look at what's going on on the hiring and staffing side. So do we have in process recruiting events that this manager is involved in? Do we have in open positions that we're working on? Do we have currently anyone changing jobs, or are we currently in the middle of a higher process? All of that is quick and easy to see for a manager. Or if we're looking at it from a performance point of view, quick snapshot into the whole team for that manager, seeing what was going on most recently, who updated their goal, who received feedback, or if we're opening someone's page in more detail like Ben Adams right here, we get the full snapshot of anything related to not just the talent side, but a lot of it is related to career aspirations, their career options, their talent snapshot. And it shows not just for the employee, what their next career move might be, who could be a good suitable mentor for them, or a gig, a flex team, like a mini project that they could help out in and gain additional skills and experiences. Or even if you use workday learning, what learning content can they consume that helps them fill potential skill gaps as they try to make that next move within their career? Managers can see all that just like the employees themselves, so they have a level playing field and they can discuss this openly with the employee. Workday also has AI embedded all over the system, and that can help, for example, generating a talent one pager. And it will pull from various sources all within Workday, performance reviews, goals, feedback received, skills someone has, development items, and more, and generate a one pager that can now be saved on the employee profile and can be used for talent discussions, or it can give a brand new manager who has not previously managed an employee a snapshot of that talent profile for each of the team members on your team. And now we can save this as soon as we acknowledge that this is AI generated and we have read it. Right? We wanna make sure people are still in control and AI is helping your employees get things done faster, but it's not replacing those critical decisions that employees are making. Alright, so that is, of course, the talent side, very important, but even more important is the operational side. And so here, let's take a look at one more dashboard. And for a manager of multiple hourly employees, it's critical to quickly be able to see what's going on, who is checked in right now, who is off, who's on vacation right now, or coming up soon, as well as the schedule for the whole team. So what's going on here, who's scheduled to work when, As well as approving and editing timesheets in mass for multiple employees at the same time. So, yeah, we can quickly see who has submitted their timesheets, who has not yet submitted. When are they scheduled to work? Is there any errors? For example, they were scheduled to come in at eight, but they arrived at nine, or they haven't even shown up yet at all. All of that is quickly available for the manager. And if they need to make multiple approvals in one go, they can multi select employees, approve, submit on behalf of them, send back. All of that is just a click away. And again, that all is available on the mobile device as well. Alright, well, with that, let's bring it home. And as we discussed finance and HR, and keep keep in mind, Workday is a single system between HR, payroll, and finance, which means instead of your people filling in the gaps between various disparate systems, acting as human middleware, They are getting reporting transactions and more all in a single place, pulling from all these functional areas automatically. Right? So a time off request can notify the right people. It can update the schedule and payroll. It can even highlight, you know, where we might have a gap now on the schedule. All of that can be automated from one transaction that starts it all. Or it can even be something like a, complex multi job allocation process against grants or departments will automatically flow through the payroll into the GL all within one system, zero integrations. So you get complete visibility into your people and finance data with automated processes driving all that change along the way. With that, Mimi, I think, we just have a few minutes left. Let's see if there we have time to answer any, questions that we've gotten throughout the HR piece. I, set it up here towards the end a little bit just to to make sure we we still have a few minutes. Yes. Thank you, Julian. So for time's sake, I think we are gonna wrap up here if that is alright. We did get a few final questions around HR, which team we will do our best to follow-up with each of you directly. The last thing that I just wanted to pull up real quickly is just a quick slide here. Just to mean you all can see that. We really appreciate the time from each of you. I think we understand that as nonprofit organizations, your systems are not the most exciting thing to talk about. And at the end of the day, the goal is that these systems should be empowering you to drive outcomes with your nonprofit. And so you saw a lot of features and functions today, but we realized that a system is only as valuable as really the outcomes that it's able to drive. And so with each of you as a nonprofit, you have different outcomes that you are looking to drive towards and ultimately different problems and pain points that you're experiencing. And so what we would love to do is if you did like what you saw or have any questions that we weren't able to get to, we'll be hearing from somebody within our nonprofit team just as a quick follow-up. We would love to spend some more time sitting down with each of you and showing you different parts of the system or clarifying anything that you may have seen today. So whether you're actively evaluating a new system or or just curious to see what was out here, we really do appreciate the last sixty minutes with you all. The last piece is just that what you did see today is see what you did see today is a lot to grasp for some and that you are really not alone in this journey. And so here at Workday, we've mentioned that we have a nonprofit team. We have a Workday services team as well that helps our customers go from evaluation to live. And we also have a whole network of different partners within our ecosystem that specialize specifically within nonprofit organizations. And so what our job is and mine specifically is to understand what is really driving you to look at new solutions, what are some of the pain, and to help narrow down how we can get you there, and solve some of the problems that you are experiencing. So love the opportunity to continue the conversation, but moreover, we really do appreciate each of you joining us. So we will go ahead and conclude here and give you each about a minute back and really appreciate it. Thank you all.
