So today's webinar is part of a series with Workday live sessions that are held each and every month across a number of different products. If you're interested in seeing additional webinars, you can access Workday Community where there is a library of the webinars, registrations, and upcoming events as well. Now to get started, my name is Julie Nelson. I'm a financial solution consultant here on our Workday's health care team. I've been with Workday for over six years. Five of those years, I was a senior finance manager utilizing Workday Financials, including accounting center each and every day. So I'm very excited to talk a little bit more about accounting center, but more specifically for how we are using Accounting Center being used by health care providers today. One last housekeeping item here, our product statement. So just please make sure that you make all of your buying decisions based on the current functionality that we have available today. Everything that you're going to see in today's presentation is live and current functionality, and all of our customers are utilizing this today. So if we do have any questions that we're going to address that are forward looking, I, of course, will make sure to call that up for for you. Okay. So as we begin the presentation today, I wanted to make sure that everybody has a good idea of where Accounting Center falls in the context of the broader Workday platform. So what we're looking at here is a visual representation of the Workday platform. Here, you can see all of the applications that you all might be looking at or have utilized as Workday customers in the past. So what's most important to understand here is that all of those applications across HR and finance and supply chain are going to be underpinned by Workday's technology. So that means our core technology, which includes our business process framework, security, all of our reporting and analytics, and, of course, Workday AI is baked into our platform. And accounting center is gonna be no different than any of those applications that live in HR, finance, and supply chain. In fact, accounting center is part of Workday's intelligent data core, which means that we're not only going to allow you to apply all of that technology to the data that lives within Workday, but also all of that third party data that's going to be coming into the system and then journalized with accounting center. So at the end of the day, what I want you all to remember as we're going throughout the presentation is that all of that technology that you know and love about Workit is going to apply to accounting center as well. So what is accounting center going to mean for you as financial customers? What is it gonna mean for your general ledger, for your reporting? Well, we're gonna take a step back and think about what things used to look like and why accounting center really came to be. So if we think back to what a legacy general ledger looks like, which some of you might have used in the past, I know I utilized something similar to this in the past, we lived in a world that we had very limited insight. We were able to capture very limited information. And because our ledger and all of that data within it was summarized to a generic code block. And immediately as you all moved to Workday, you were able to capture a lot more information in the Workday system through the use of dimensions in WorkTac. So our slide here shows an example of a supplier invoice. You can see that through Workday's dimensions, we're able to capture information like location, region, project campaign, and all that additional information that you didn't have access to before. Now as we think about that, that's going to give us a lot of rich detail in data and Workday. And accounting center is going to allow us to take this even a step further and capture data above and beyond what we're capturing in our general ledger. So if we think about this for the purpose of healthcare providers, that might be capturing DRG code, procedure, CPT code, physician information, all that detailed information that previously was not captured in dimensions and work tags, or that data that we weren't capturing in our general ledger is now going to be available directly from our financial transactions. So this is a powerful change because by capturing these additional attributes, you can now report on them. And that means that you can leverage them in calculations and really ultimately have better insight into what's going on with your business from a financial perspective. So today, we're gonna talk about this and how we do this, how we ingest all of that rich third party data and ultimately create accounting for it by leveraging accounting center. Now, if we take the 40,000 foot view about what we're talking about today, we're really talking about different ways that you can ingest financial data into the ERP. And you all might be familiar with the other ways that you can ingest financial data today with Workday, the most basic of which is capturing the data through a traditional integration or journal connector that would allow you to bring balanced journals at a summarized level into Workday and be able to post those to your journal ledger. And while this method can get the job done for accounting purposes, it can lead to a lot of headaches when you need to get to that next level of information, and you quickly can find yourself flipping between all of those different systems to try and get a good understanding of your data. And the next method of financial data ingestion allows us to go that one step further by bringing in Workday Prism to work with Workday's core financials. And this combination is going to open up your world to be able to bring in more data. It's going to allow you to bring in third party data into Workday and combine it with Workday data to calculate it, blend it, transform it, and then you're going to be able to report on all of that very detailed data. And again, serviceable concept because you have access to detailed reporting that goes well beyond a traditional integration. But the downside is that it's not gonna give you any journal entries. None of your Prism data is going to the ledger. And in a lot of cases for third party systems, this is exactly what needs to happen. So if we then move on to our third method, we can understand where accounting center comes into the picture. Accounting center is going to be able to combine those two items together and give you the best of both worlds by allowing you to ingest not only high volumes of third party data and transform that data, but ultimately create the accounting for that data so that now you can make sure that you're accounting for your data properly while also maintaining all of that detail so that you then can report on it at the end of the day. So this is where we're gonna focus today on accounting center and what it can mean to you as a health care provider. Now let's talk just a little bit in detail about what an accounting center really is and the process flow of your data. So on the left hand side here, we can see my external data sources. Right? Think of those like your EMR, your claim system, and any place that third party data might be coming from. And where we're going to focus in on is here in the center of the screen, which is really what's going to happen to all this data as it moves through accounting center. So first and foremost, we're going to integrate that data into the system, and we are now going to be able to enrich that data. So that means you can bring whatever data you want out of your third party system. And now we have the ability to transform that data in several different ways. We can apply mapping tables to that data, perform calculations, drive new fields, really do whatever kind of transformation is required to take place to that data directly in Workday. Then we're going to take that data and we're going to run it through a set of accounting rules so that now we're going to determine what does the detailed debits and credits look like for the particular pieces of information. And we're going to do that really easily to through our own accounting rules. And we will then create those detailed accounting journal entries, summarize them up, and post them to the general ledger. Now at the end of the day, what does this mean for you? Of course, that means all of your third party data will have the appropriate accounting, but it also means that we're going to be able to maintain all of that detail that you all bring into the system from those third party systems. So that means that we're not only gonna leave anything behind behind, but we're also going to connect all of that rich detail to those journal entries that are posted to the general ledger. It also means that we are going to be able to perform calculations for you to get your journal entries to where you may have previously had to do those outside of Workday or even in Excel today. So we think about journal entries that require calculations that then requires manual effort. So today, Accounting Center is going to be able to automate those. So let's think for a minute here about what this means for health care providers. Right? All of you on the phone today are health care providers. So how can accounting centers specifically impact your experience with Workday? Well, if we think about the largest amount of data that you're bringing in from your third party system, of course, first and foremost, I think all of our minds go to the EMR. You all likely have an electronic medical record or patient billing system that you are supporting all of revenue for your organizations. And that data that you have then has to integrate into Workday in order to properly account for that data. Well, with accounting center, we can handle that in a better way by allowing you to bring that data in with as much detail as you need and then being able to post that information to your general ledger automatically while still maintaining all of that detail for any reports and analytics that you might need. That way, you don't have to go back to your EMR to answer any detailed questions you might have. Another common way that we see our health care customers using this tool is to automate calculations that are manual today to create your laundry. So one of the most common things we see is a calculation of net revenue. Many of our customers today are pulling in detailed trial balance in addition to a lot of other information around rates into an Excel spreadsheet, doing a lot of calculations, and then using an EIB to upload that information into Workday. It can be a very manual process, and it can also have a lot of risk around it. But with accounting center, we can automate that process by moving those calculations into the system and automating the creation of those journal entries. So now those are by no means the only way that you can leverage this as a health care provider. There's a lot of other use cases that our customers use, but this can also be one of the best ways to be able to manage some of that EMR data that you're really wanting to get into the system. So as we go through today's presentation, we're going to follow how a piece of information enters the system and ultimately has accounting generated for it and then ends up in the reports that you will all look at as customers. Now where we're gonna start is with the end in mind. So what does this look like at the end of the day? And then we'll back into the details and how we got there. So as I pull up the system really quick, just a quick reminder that we've heard that accounting center is really our main goal for today. So please, if there's any questions that you might have, answer in the chat. We do have experts on the line that we should be able to address any questions that you might have as we go through this. Okay. So let's go ahead and hop into the system here. Alright. And as we jump into the system, we're going to start logged in as Teresa Serrano. Now Teresa is going to act as our high level administrator. She is someone who can see and do a lot within the system. She's gonna have a lot of access to information in detail, and that means that she's going to have a high level view of not only what is happening from a financial statement perspective, but also what is happening specifically with, let's say, patient revenue within her organization. Now as we walk through what accounting center looks like today, we're going to take a look at this from the perspective of what it looks like to bring in your EMR data through accounting center. Now like I mentioned before, this by no means is the only way that you can utilize this tool. But for today, we're gonna focus in on two key use cases. So the first is what does it look like to bring your gross revenue into Workday through accounting center? And the second is what does it look like to calculate your net revenue leveraging the accounting center tool into automate those journal entries? Now where we're gonna start, like I said earlier, is with the end in mind, and that means we're gonna start on an example of a Workday dashboard. Now I'm sure a lot of you have seen a variety of different Workday dashboards over time. And the only difference between this dashboard and really any other dashboard that you may have seen is that the dashboard that you're looking at here is going to be a combination of Workday data and third party data. Now that doesn't necessarily mean that it changes how I interact with the data that I'm looking at on my screen within my dashboards or any of my reports. And as I start to break details or some of the analysis I'm doing around, let's say, patient revenue, I can start seeing things like revenue by period in the reporting behind that. Now as I look at this report, it looks pretty standard. Right? Revenue by period is something that you can get to if you're not using accounting center. But where the difference comes in is what I can do with this data and what sort of questions I'm able to answer about what's going on in my data. So let's go ahead and take a look at this. I can actually drill directly into this report here. And if I drill into my revenue by period, I can see that, of course, I have all of my work tags and my dimensions that live in the general ledger within Workday available to me to be able to slice and dice and drill. And let's say I want to drill in by a ledger account, or let's say I even wanna drill by location. I can do that directly from this dashboard. But what you also might notice is that I can slice and dice into this data, and I can see a lot more than just those dimensions in Workbags that previously lived in my general ledger within Words a. So anything that has an AA in front of it here is what we call an additional attribute. And those additional attributes are pieces of information that are above and beyond the general ledger but are still important to the context of what we're looking at. So let's say maybe I wanna break this down by DRG description. Right? That is absolutely not information that we would ever keep in the general ledger, but it could be important to the analysis of what I'm doing here. Because if I'm looking at a number, I'm looking at a variance, I'm looking at something within Workday, I wanna be able to understand why that number looks so high, why my variance is high, why something looks off or looks slightly incorrect. And if I compare this to using Workday using Workday for third party data within accounting center, I can drill into a summarized journal entry here. But that's where things are going to stop. And to get more information about my answer and my question, I'm now going to have to go into another system. I'm gonna have to go back to my EMR and my patient billing system to really understand what's going on here. But with Workday Accounting Center, I can now answer my own question directly from where I'm working without having to go back to another solution. So even from here and now, let's say I wanna continue to drill into this. Maybe from DRG description, I now wanna understand it broken down by payer that is associated with it or maybe even worker or physician. I can absolutely do that, and I can continue to slice and dice this information with whatever questions I have. Okay? Now these analytics can get as complex as you would like them to get, where we could even get down to things like pair mix if needed. We can look at our revenue by location and patient type, or even we could get into this data by service line. But now that we've looked at some analytics, what we can do to slice and dice and drill into this data, I'm sure you're all curious about what this means directly for your financial statements. Right? Because at the end of the day, what you all need is to be able to make sure your financial statements are correct and to be able to answer the questions directly from those in the system. So let's go ahead and open up an example of a financial statement. I'm gonna open up my delivered income statement here within Workday, and we're gonna go ahead and slice and dice some of the data. And we'll take a look at the difference of what this data looks like when you have it coming in through accounting center versus what you might be seeing in Workday today. Okay. So as I start to drill into, let's say, let's take a look at our patient services data here. Of course, I can still drill and slice and dice by those dimensions that are living in the ledger. But for example, let's say I break this down by payer. I can now see that breakdown pretty easily. And if I'm looking at this number and if I'm looking at this Medicaid number here, like any balance within the system, I can now open up and see the summarized journal lines, which include the journal source, debits, credits, work tags. But if I wanted to understand what is going on in a little bit more detail than just these summarized entries that I'm capturing in the ledger, well, right from here, right from my financial statement, can continue to drill in even further and be able to break down the the details that are supporting the number that I'm looking at. So no longer am I only able to get back to the journal the summarized entry. But now I can see the summarized entry as well as the detail behind the summarized entry. K? So on the left hand side here, I can see my journal entry. And as I scroll to the right, I can see anything in blue, of course, are those items that live in my general ledger. But anything beyond this, all of this very detailed information is now going to be available to me as well. So let's take a look at what this this means. I can now see things like date of service, my patient ID, DRG code, DRG description, my financial plan, my claim ID. All of this information that I previously would have to go back to my EMR to get is now available for me to use as part of my analysis. Okay? Now what we just saw here is an example of a gross revenue entry, right, detail coming into Workday that we want to understand at a deeper level. But what about some of those entries that require calculations? What about some of those entries that might be taking place manually in your Excel spreadsheets? And to address these issues, we wanna see how accounting center can automate the process so that the system can handle the calculations and really be able to automatically create the accounting for you as well. So what what does that look like? Well, our allowances are a great place to start for this because our allowances are made up of some of those net revenue entries that require generally fairly detailed calculations. That might mean pulling in our age trial balance, or that might mean applying the appropriate rates for things like allowance for bad debt or charity. And how are we getting to those entries, and what kind of visibility do I have here to now understand understand how those entries were created and posted? Well, the same applies if, let's say, I drill into my allowances here. I can see the breakdown of all that information. So if I take a look, I can see my journal entry that was posted to the general ledger, and I can see the amount that was posted to the ledger as we perform the calculation for this entry with the accounting center. We are now giving you visibility into how all these journal entries were calculated, whether you were leveraging a calculation to create something like net revenue or if we just wanna understand what mapping table or what rule set was used to create all this data. Okay? So at this point, you have seen the end state. Right? You've seen the dashboard that delivers those analytics to you that we can now drill into. We've seen the financial statement that allows us to slice and dice and get to that deeper level of detail and understand the full data lineage. So now let's go ahead and take a step back and really talk about how this all happens. How do we actually ingest the data into Workday? How do we transform that data? And what do the rules look like to be able to create the journal entries that you are all seeing in these reports? So to get started with that process, I'm going to pull up some of our accounting source stages where I can see the lineage or the path of all that data that is living within the system. So I'm going to go ahead and open this up, and we can easily see all the data sets that Workday creates as a part of this process. Where we're gonna start today is by taking a look at the four steps that the data is going to going through as it moves through the accounting center process. So the first is the initiation. Now this will be the raw data sets from our third party data that we're bringing into the Workday system. The second is the enrichment. So this is where we're going to perform all of those transformations and calculations on the data. The third is the detailed accounting. So this is when we run our data through all of our accounting rules to ultimately create the entries that we're seeing those detailed debits and credits in our drill through on our reports. And then finally, we will go ahead and summarize up that data so that we can actually post it to the general ledger and then view by all of those work tags or dimensions that live there. So we are now going to walk through each of these steps in detail so that you all can see behind the scenes what is happening to a piece of data as it enters Workday and then ultimately has a journal entry created for it. So as we start by thinking about something like the batch initiation, we want to first talk about what data we can bring into the system and also at what frequency we can bring that data in. So if we think about something like gross revenue, right, that's something that we want to bring in daily or maybe you even wanna bring it more frequently than daily. Well, accounting center is gonna be able to allow you to bring your data in review whatever frequency you need. So if you all want to bring in your revenue just once a day, that absolutely works. If you're wanting to bring it in four times a day, that also works. It's completely up to you in terms of what frequency you're wanting this data to come into the system. Okay? So now let's go ahead and open up one of these datasets and take a look at what a raw dataset looks like from a third party because what I want you to be able to see is the flexibility of Workday and how it can adjust as this data comes over. So let's go ahead and take a look at this. And when I say that we can ingest whatever data you all need for your processes, I truly mean it. You do not have to have your data in any particular format. It does not have to be in the journal EIB format that I'm sure some of you all know and love very well. We truly are able to ingest whatever data makes sense for the process that you are performing. So in this case, for example, my gross revenue, I'm bringing over charge level data, and I'm including whatever detail I would like to include from my e EMR. So that could be or from the patient billing system that you might utilize. Again, that could be claim information, patient ID, the financial class, provider ID. All of that can be included. And ultimately, it will be up to you as to what information you want to be included here. Now, I'm sure, as some of you are looking at this, many of your minds are first and foremost going to security. And what does this mean for the security of this data as you're looking at, for example, PHI data? When we think about this in Workday, there's two key things that we think about. The first is our security framework that Workday supports around PHI data. And, ultimately, it will be up to your organization to determine if that meet meets your needs. What we also think about is the thoughtfulness of data we do bring over because, of course, Workday can ingest ingest whatever data that you all need, but not all of it is going to be relevant for the reporting and analysis that you might need to do in Workday. So for example, something like patient name is likely never going to be relevant to any of your financial reporting. However, DRG inpatient ID might be, so we wanna make sure that we're being thoughtful in the data that we do bring over. But I want to assure you that we do have the security to support the PHI data that you are seeing on the screen. Okay. So now what happens to this data? Right? What happens to all this rich data and this rich detail as it comes into the Workday system? So let's take a look at what we can do to this data from both a transformation and a calculation perspective. Now to do this, I'm gonna go ahead and use our net revenue example because there's a bit more going on there, and we're gonna use this source to take a look at both what we can do from a calculation perspective as well as what other transformations can take place. Now as I take a look at this dataset, this might look familiar to some of you because we are leveraging Prism Analytics to do the transformation to this data before it goes through the accounting rules within Workday. So if you are familiar with Prism, this should look familiar to you. And what we're gonna take what we're what we're gonna talk through are the different types of transformations as well as the different types of calculations or functions that you can perform on your Workday data. So let's go ahead and take a look at some of the transformations that we have available here, and everything is gonna be at the top of the screen through this flow. So you can see that we have a variety of different stages that are taking place as we transform our data. Now, if we look at the different options for different stages that can take place in our enrichment base, you'll notice that we have a variety of different tools available to us. So that means you can perform value mapping, validations, unions. We can do all different types of joins. So whether that be inner joins, outer joins, right joins, left joins, we can do all that grouping and filtering of the data all performed right within Workday. Now as we look at these different transformations in stages, what I want to make sure is clear that we are doing is that this is all directly within Workday. This is not a third party tool. This is not a bolt on. It is truly part of the Workday system in the in the Workday platform. And why that's important to you is because of the audibility of Workday. So whatever calculations or transformations you are doing to the data is always going to be auditable in Workday so that you have the full data lineage as to what happens to any piece of data within the system. So if we can compare this to, let's say, you're performing this in Excel where we might not know exactly what has happened to any piece of data, we start to introduce some risk by bringing that function into Workday instead. Workday is going to audit that for you. This allows you to reduce your risk, and it also makes sure that you can get any information that your auditors might need. So let's start taking a little bit of a deeper dive on these transformations. And the most common way that we're going to be transforming our data as it comes into the system is with our mapping tables. Just like you would have with an integration, we are always going to have the need to map that third party data to those dimensions that are living in your ledger within Workday. So let's take a look at those. And as we open up a mapping table here in a new tab, we can take a look at a couple of different examples of mapping tables. One that is fairly simple, and then we'll look at one that's a little bit more complex. So for our simple version, we can think about something like a call center. Right? This is where a field might have a one to one mapping in Workday. And our mapping tables can support one to one, one to many, many to many. We can even support nulls and wildcards, really whatever you might need. And as you move your data from the third party system into Workday, these mapping tables are designed to be all clicks, no code so that you can interact with them within your financial organization. We really want this to be more of a self-service for the finance organization itself. And if a mapping table needs to be changed, it's absolutely something that the finance board can own and also maintain. And when accounting center was released to our customers, one of the first things that we heard feedback on was around our mapping tables. One of our first customers leveraged the solution with CNA, very large insurance company, and they said that the ease of using the mapping tables within the system was one of the key pieces of efficiency. And one of their favorite parts about the solution, just being able to interact with the mapping tables was much easier than having to upload those through Excel. Now this cost center mapping table is fairly simple. Right? So let's go ahead and take a look at a more complicated example of a mapping table, maybe this time one that includes, let's say, line. Now what we're looking at here is a mapping of a service code to a service line, but this service code could easily be something like a DRG code. And, of course, some of you might be grouping your service lines using third party groupers, and that's absolutely fine. But if you need to map service lines, we can support that in Workday, we can leverage that range functionality to be able to do it. So here, I'm looking at the range of service codes and as they pertain to service lines within the system. So when this data comes in, I can automatically assign a service line and make sure that I'm reporting on that data appropriately and even get to the service line reporting directly within Workday. So all things considered, the mapping tables are incredibly robust, easy to use, easy to maintain, and this is the most common transformation that we tend to see with our health care customers who are bringing in data from their EMR. Okay? But let's talk about some other ways that we might be able to leverage these transformations. We also have, for example, validations. So validations can go hand in hand with error handling, and that is something that accounting center is also going to be able to assist you with every step of the process. So that means that we are going to be able to validate your data as it enters into the system, and as you create that detailed accounting, and then, again, as you post it to the general ledger. And the first place that we tend to see validations is generally in our enrichment phase. So a valid validation step is not only really making sure that the right data is coming over from the third party system, but it's also making sure that the mapping tables are working appropriately. So if anything does not get mapped or if we are missing any information or let's say we got bad data from the source system, we can stop that right at the start so that you don't have any bad journal entries getting created in Workday. Now this is incredibly beneficial for our customers because we also do not force you to stop an entire batch. Let's say that there's just one row that has an error in it. We can take a look at just that error itself, and we'll we'll go over error handling a little bit later in today's presentation, and you'll get to see how we're able to manage those errors. So that just one bad line does not derail your entire batch, and you can maintain really that entire efficiency of the process. Okay. So as we come back to our stages here, some of the things that you might see are the ability to manage fields. Okay? So this is changing field names, changing field types, as well as the ability to perform joins. Now joins here are really allow you allowing you to combine data together and then also the ability to perform calculations off of those joins as needed. So here we can see the calculation in this example. We're taking the billed amount and then calculating the allowance amount by the average percentage paid. Okay. And as you and and this can be done really based on whatever criteria you all need to leverage. So maybe these joins, you're needing to leverage location, inpatient type, combine this data together in what state it is. We can now pull that based on the criteria leveraging the join capability within Workday, really all of these specific fields. And this join functionality is also very beneficial if we just need to join, let's say, supplemental data into our dataset. Maybe we have data coming from our patient billing system, and then we have data coming somewhere else that we might want to join in to bring additional detail together. That join is going to allow us to do that to make sure that we can report on all of that data in context and in conjunction with one another and then to create calculations off of those. Okay? Now, as we think about all the different transformations and calculations that you're seeing here, I want to remind you that, for example, net revenue and gross revenue are by no means the only way that you can leverage this solution. If you start to think about any journal entries that your organization is creating manually because there are calculations that, let's say, you're performing in Excel or any third party data that you're running through an access database or some kind of other tool to perform these calculations, Those are ideas that you can start to leverage Accounting Center for. So those are the items that we wanna make sure that you can automate so that you're really minimizing any manual work and that you maintain that audit trail within Workday to understand exactly how any of your journal entries were created. So we've looked at the transformations. We saw how we can take all of this rich detail into Workday, map it, drive new fields for it, and then perform calculations. Now we may be asking ourselves, how do we turn all of this data into accounting? So let's go ahead and start to take a look at some of the rules on the back end that will ultimately take that output of our transformations and then create those detailed and summarized debits and credits. And to do this, we're going to continue here with our net revenue example, and we're going to take a look at our accounting sources. So I'm going to go ahead and back up to the accounting source again for net revenue that we reviewed earlier. And notice that as we view these rules, they're also effective dated. Okay. So as changes happen, you have the ability to maintain those changes appropriately based on the effective date. Now, before we dive into the details of this setup, the first thing I want you all to notice is that these rules are designed to be all clicks, no code. And at the end of the at the end of the day, these are the rules that are going to determine how does all of that rich detail create a journal entry. Now what's important here is that this is something that can absolutely be owned and maintained by the finance department because finance should truly be the organization that's determining what these journal entries look like. Yes, IT may be involved in some of the manipulation of the data, but when it comes to the journal entry itself and how it hits the general ledger, it really should be owned by finance. So as we look at these rules, we can see that they're very easy to manage and maintain. They're not in a black box or wrapped into any integration logic. They're something that can easily be reviewed and maintained over time as you may need to make changes. And if we think about that in contrast to an integration or how your world might look like today, if you do have an integration doing some of this work for you. If you need to make a change, that that might necessitate a call to IT. And while we love IT, you might end up getting backlogged for a few weeks or even a few months because they're busy, and that can cause delays in any needed changes. So these rules can be maintained and are designed to really be maintained by the finance organization and ultimately changed as as you need them to. Okay. So let's go ahead and dive in and start to look at what these rules look like. So we're starting here with our header. So defining what is our journal head header going to look like for all this data. And as you can see, I have the ability for each of these values to go ahead and map these from my data source or choose something that already exists within Workday. So, like, in in this case, a company. The same goes for ledger type. And here, I have my accounting date, right, where I can determine from any date within the data file which one is going to be my accounting date. Now that means you all can have multiple dates in that file. Right? Maybe you have service date. Maybe you have accounting date. You might have several different dates there, and that means you can choose whichever date is appropriate for the accounting while still maintaining those additional dates for reporting should you need them. I also have my journal source here, which we can create for each of our accounting center scenarios to bucket the transactions. And I can see some additional options for the journal header, like deciding which book code to leverage. Should you need to post to a different book as well as create a reversal, you can you can do that as well. And the reversal piece is very important, specifically when we think about net revenue, where many of you may be doing a true up entry for net revenue today, and some of you might also be doing a reversing entry. With with accounting center, it it does allow you to do the automatically creation of that reversing entry for those items should you need to perform accruals in any way. So as we move to our journal line rules, we can start to get into some more details of how we're actually creating the journal lines within the system. So we're gonna take a look first at our line company similar to what we saw in the journal header rules, and I can decide whether that value is going to come directly from the data source or choose it from my list. From there, I can decide each piece of data. So what is the debit going to look like? What is the credit going to look like? And now I can choose the appropriate ledger account for each side of my entry. So in this case, I'm posting to my contractual allowances account. I was able to choose that right from my list of accounts that already exist within the Workday system. Now, of course, there are other ways to do this as well. If my data already had, let's say, a Ledger account on it, I can map it directly from my data source in more of a pass through fashion. I can also leverage the Workday account posting rules that you all might be familiar with, where Workday as a financial system offers a rule set that look at what is happening at a transaction and then can determine based off of that transaction in the scenario what ledger account we're posting tool. So if we have a scenario where you might need to leverage one of those account posting rules, we absolutely can do that. You also have the ability to create your own custom account posting rules, leveraging accounting center as well. And as we continue to scroll to the right here, we'll see our transaction amount. So what is the amount that will be posted for the debit and credit? And, again, you can choose whatever value you would like here while also maintaining any other values for reporting. Now we start to get to the key pieces of of the entry, like the work tax and the additional attributes. Okay? This is where I get to define what detail is going to be available for reporting and for drill down, like when we took a look at those dashboards at the beginning of this presentation. Now if we start by looking at these work tags, these are the items that we are leveraging the mapping tables to create, meaning items or attributes came over from my third party, and I mapped them directly to the values in Workday. So ultimately, these work tags are the items that are going to be on the summarized entries that will post to the ledger. Now you're seeing a lot of data there because we have a lot of work tags in my demo instance, but you might only have one, two, or three dimensions that you may be leveraging that would be defined here. In the next column, I have my additional attributes, and this is where I get to see all of that additional data that is above and beyond the general ledger that I may want to include and be able to report on. You might remember back to when we looked at that dashboard and we had that AA in front of this in front of several items. Here is where we are defining exactly what they will be. And if we review some of those items, you can see, right, I have my allowance amount. I have my average of percent paid. Maybe I wanna include the mapping world that I used to create all of this data. Those can now be included as those additional attributes that I can really slice and dice and report on all of that data based on the insights I'm trying to gain. And one last thing that I'll point out here that is important is that I have this reconcile to bank checkbox available to me. Now while this is not important in the context of net revenue, where this could be important is if we think about bringing cash over from our billing systems. Right? I have a lot of customers today trying to find a way to cram their data into a very specific ad hoc bank transaction format in order to post their cash Workday and ultimately leverage it within your bank reconciliation. However, with accounting center, as that cash comes over from your EMR, we can now check this checkbox and automatically make it a reconciled item so that it can now be leveraged in that bank reconciliation process taking place in Workday. So there is a lot of benefit there for our customers who are potentially struggling with that ad hoc bank transaction template today and then having to force their data into any particular format because we now can leverage this checkbox instead. And the final thing I'll point out about these rules is while there's a lot of detail that we include here, not every item is going to be treated in the same way. So as you think about charges, payments, adjustments, those typically come over in their own file. A payment may need to be treated different than an adjustment than a charge. And so we also have conditional logic that we are able to apply to both at the journal line level as well as the journal header level so that different behavior can be applied to different transaction types as needed. And that conditional logic is based off of if then statements, just like any validation rule that you might create in Workday. So as we've seen, all of these rules are incredibly robust, but they're also very easy to maintain. So really, your finance organization can truly own this process. Okay. So the final piece of the puzzle here is how does this data process through all of these steps? And what happens if there are errors? Right? What happens if we run into some issues within that process? We're gonna go ahead and go to our accounting center error manager. And this error manager dashboard is where you can see all holistic error transactions that accounting center may have based off of my source and my batch status. And I can see that, I can edit the ingested data by applying resolutions directly from here. So I can see how our data is being brought together, what needs to be dismissed, what may need to be processed, or what may need to be resolved. And I can even click into what those error details may be, and it tells me directly why my transaction may have aired. And as previously mentioned, it does it on the transaction level, so it's not going to air out your entire batch. Right? It's not going to stop all of your transactions from being posted, but it is going to call out any specific transactions that you can correct at that line level. And if I want to go back to the source to be able to address that, I can also edit that directly within Workday like we are seeing here. So I can go ahead and resolve any of those errors directly from this accounting center error manager. Okay. So, like, for example, if I had a bad mapping table, well, that's a change I'm gonna go ahead and just make to my mapping table in Workday, or maybe I have a calculation that may not be working correctly. That's a change I can go ahead and make within Workday as well. If my roles need to be changed, all of those changes now can be made within Workday versus if we're doing those those calculations in Excel. Again, we don't have the audit trail behind it. And what the error manager does is bring all of these pieces together so that I can see all of my errors in one place, and then I really can choose what action I'm going to take on them in mass. But, again, we do have those validation rules that we showcase in the transformations that are going to occur at every phase within your accounting center process to make sure that, ultimately, you are getting the correct data posted to your general ledger. Okay. So now we've really come full circle. Right? We started with reporting. We looked through the process of enrichment, transformation, error handling. And now this is where we come to a full circle to reporting, where we looked at patient revenue and the patient revenue dashboard. We looked at financial statements. But it's not the only way that we can look at this data since it's in the Workday platform. I can now use any of the reporting tools within the system to not only build, you know, specific recordings that I might need, but I also can build out configurable dashboards based off of my business needs. And we can do that with any of the data within accounting center and any of that data that's transformed through accounting center. So here, we're gonna pull up one of the configurable dashboards that we now can pull together that Workday data, that third party data that we can report on. And these insights could include things like what we see here, payer mix by period, you know, patients by patient type, revenue by service line. And remember how we saw the ability to map service codes and DRG codes to service lines earlier? We can now have insight to DRG codes by location. And you can do this all through Office Connect as well. And at the end of the day, all of this data is going to exist in Workday in the system for you to be able to create and drag and drop reports for really your business needs. And this is all live, drillable data so that you can share these with your team. You can edit them. You can be able to access all of these dashboards and reporting all within Workday through Workday Accounting Center. Okay? So ultimately, for our healthcare customers, why they're choosing Accounting Center in the first place and as we've seen today is really a lot around efficiency. This tool gives you the ability to ingest high volumes of data into the system and eventually journalize it. The second is that you're giving your finance team control over how accounting center creates data. And at the end of the day, finance should be in charge of how data is hitting your general ledger. And then finally, accounting center is giving you that additional insight directly into Workday, insight that you previously would have to go all the way back to your EMR data to get, maybe export it into Excel, and then cross compare to your general ledger. So with that, we're going to begin closing out our presentation for today. I know we do have a few additional minutes towards the end, but I do wanna remind all of you that these Workday live sessions are available for you to be able to register for in Workday Communities. So if you're interested in seeing other Workday live sessions, we have upcoming Workday lives that will focus on other areas across the board. Right? Strategic sourcing and procurement, financial planning, Workday financials, really any any area, whether overviews, expenses, reporting, analytics. So we have these every month. And if you do like the webinar format and want to invite your team members to move through these sessions, please do not hesitate to do so. We love having these and love having you here.
