Transcript for "Unlock Your Investment in Workday Procurement": Hello, everyone, and thank you for attending this overview of Workday procurements. We'll go ahead and get started here. So quick product statement, any unreleased and, future functions that we will be covering today, I'll be sure to call out during the demonstration. Just take note that when you are making the evaluation on this product, use what is readily available in the tenant. Quick couple of housekeeping items. So we are gonna be on a webinar, so there is gonna be a q and a portion on the right hand side for you guys to ask questions as we're ongoing through today's presentation. Feel free to, put those messages in the chat, and we'll respond to you as we go through. And in addition, you have your resources as well as your a survey at the end of this webinar, that we would love for you guys to go ahead and fill out so we could help, improve these webinars for you. Quick introduction of today's presentation is gonna be myself, Brandon Marino. I'm a solution consultant with Workday, specifically in the retail and hospitality side for financials. I've been with Workday for about four years, two years in my current role and, two years as an implementer. So look forward to today's presentation and showcasing what Workday has to offer. And then Umbar will come on later from a services perspective where she'll go ahead and introduce herself as well. So I'm gonna go ahead and jump into today's presentation. So today, we're gonna be focusing on spend management, which is an integral piece of the financial suite for our customers. It provides a full source to pay platform that is tightly integrated with our financials, planning, and reporting foundation that can be aligned, adopted, and, provides value over time. With Workday, you could leverage automation of Workday AI and the spend management process for both efficient, accurate, and really kind of bringing in that real time reporting that is available for you guys. For today's presentation, we're gonna be looking overall at the Workday spend management, but mostly on the right hand side of this where we go into the inventory process, and focusing more so on the procure to pay function at it. But we did wanna call out the Workday spend management functionality where we're able to bring in our integrated solutions, manage every step of that process, whether that's bringing in integrations, having stakeholders that need a project into intake or moving to competitive bidding, progressing to supplier awards and onboarding. All that plethora of information is in our supplier management platform. But, again, as I mentioned today, we're gonna be focusing on procure to pay. And with that, procure to pay has become a standardized process for purchasing depart departments, especially when it comes to indirect goods and services. You do utilizing digital procurement solutions such as workday procurement can help drive efficient and additional sources of value to elevate the office of procurement. And today, we're gonna be focusing on requisitions. We're gonna go through the full process from the beginning from source, sourcing the requisition to creating the purchase order, then receiving the goods, invoicing, and finally wrapping it up with payment. And we are gonna be purchasing some assets so we can showcase some of that functionality as well. But, really, what we wanna bring to your attention is the plethora of of tools that you have at your disposal within Workday, and how it could help your direct procurement needs. These are gonna be the personas for today's presentation. We'll be going through all of them through our demo, starting with the spend analysis. So this will be kind of the reporting functionality that we have within the tenant, then we're gonna actually go into the process itself. We'll start with Jennifer Carter, who will be the end user. We'll go ahead and create that requisition for a couple of items. We'll submit it through the business process. We'll log in through a manager. They'll go ahead and approve that process. Next, we'll go and actually source this amount, buy the product, issue the purchase order, and receive the goods and services as well. And then finally, we'll show how we can leverage our settlement engine to go ahead and match and pay these invoices based off of the options that we have available. And with that, we're gonna go ahead and jump over out of our slide deck and into our presentation. So here we are logged into our Workday tenant. Let me go ahead and log in as Theresa first. So Teresa, in this instance, is responsible for analyzing spend within the organization. In this case, she is going to be an analyst for this specific role. And what we wanna showcase is our discovery dashboards, and what we can do from a reporting perspective and how we can drill from a top level report all the way down into the actual supplier itself. And we're gonna start on this spend analysis discovery board. And as we see here, there's gonna be a plethora of reports, whether it's gonna be spent by category, which is gonna be the the categories of your spend. So whether it's facility related, marketing, professional service, we have spend by cost center, spend by supplier or region, spend by supplier. Again, just a plethora of reports that you have available to you. What we wanna showcase right now is actually the configurability and the editing that you can do within these reports. So I'm actually gonna drill into this spend by supplier region, and I'm gonna go ahead and click edit. And the first thing I wanna do is change this. Instead of spend by supplier region, I'm gonna go ahead and change the name to spend control by supplier. And with this, really, this is a drag and drop functionality within this report. So currently, it's showing supplier as a work tag tag for our x axis. Our y axis is gonna be the sum. And then, of course, it was adding it by region, but maybe I wanna make this a maybe I wanna change this. I'm gonna say, well, I wanna be looking at it by my spend control method. And really, all I have to do, drag and drop, This report is automatically gonna update and showcase, hey. What type of spend are we associating here? So when we look at BMR market research, we see that PO typically exists. Looking at ATT, these are primarily invoice only amounts. Office Depot has a little bit of a mixture of both. So a lot of information that is available to you, and all we did was drag and drop a control method into this report, and we see that it's automatically updating with that change. Let's go ahead and save this change in the top right corner. But on this same report, I wanna go ahead and click Office Depot. And let's say I wanna drill by a certain, cost center distribution manager. What this is gonna show is the different managers we have in the system and what amount they're associated to. So we see Christine here is associated to about 2,200,000.0 of the 2,300,000.0 of total spend. Let's say I wanna go ahead and drill into further details of what she manages. This is gonna be a complete listing of all that $2,200,000, the specific supplier invoice. If I wanna take a related action, action, I could drill directly into the supplier invoice from here. So really from a top level report where we're looking at total spend by supplier, by region, by, spend type, or we could then take another drill and go, hey. I wanna actually look at the supplier itself. And from here, now we're into the Office Depot supplier three sixty. In this, we have a plethora of information available, whether it's gonna be the overview where we go into what supplier category they're in. Maybe we wanna look at specific invoices and payments that they have associated. You could like the payments, the invoice setup. What contracts do we have, for our for Office Depot, whether it's gonna be negotiated pay rates that we wanna drive into or drill into. We have those from a catalog item perspective. A lot of information that really what we wanna highlight here is you're not needing to go into separate systems to go into your suppliers. You're not needing to go into, hey. I need to click into this report. What is this supplier going to another search engine to then search up Office Depot? I went directly from a top level report, drilled into the details of what amounts to that specific, cost based off Christine's, market and then drilled into finally the supplier itself, really showcasing the value that the drillability into our spending where now Theresa can make actionable items, into our suppliers and the spend that she saw associated. With that, that's kind of an overview of the the process from a back end perspective when we were looking at it from reporting. But now, as we saw in the beginning, let me go ahead and drill into Jennifer Carter to actually show what the process of procurement actually looks like starting from requisitions. So I'm gonna log in as Jennifer. We're gonna go ahead and start by drilling into our requisitions. So here, we're using our menu shortcut to go into requisitions. Alternatively, I could go ahead and type in requisition at the top, and it will part give me some tasks associated for that. So here we have the requisition landing page. A couple of things that we have noted. We have a couple instructions at the top. These are something that you can customize from a instructions perspective. We have down here at the bottom, what are some of the requisitions that Jennifer has already associated. If we scroll to the right, we have our requisition details. So if we see here, we have some things that are defaulting. So global modern services, being delivered to Chicago, or shipped to address, what work tags we have associated. Keep in mind that these work tags are based off the employee profile. So it's really bringing your people and pennies together. It is not something that the individual has to enter on their own. It is what is assigned to them within the Workday tenant goes ahead and gets defaulted on these requisitions. So then when they go ahead and complete the process and go further, all that information is already there. You're you're saving time and clicks, to associate all of these different work tags to this requisition. But in this case, what I wanna go ahead and do is just go ahead and start this process. And if I scroll down to the bottom, we're gonna see that we have a couple of options from ordering. So we have searching our catalog. We have request non catalog items, connect to a supplier website. All of these are different ways that we can go ahead and request an item. We're gonna start by searching in the catalog, but rather than clicking there, I'm just gonna scroll up here and type in desk. And this is gonna look through our cataloged items. It's gonna provide Jennifer a listing of the cost associated, whether it's a desk lamp, desk organizer. In this case, I'm gonna click the 450 USD at the top. And, again, these are the catalog items that you have in your system. And then as I scroll down, I'm gonna say, well, what if I don't have this in catalog? Maybe I wanna request a non catalog method. Here, we're gonna pull up a non catalog request. At the top, we see that we have different types. So whether it's gonna be goods or service, you have your supplier identifier information, the supplier, if she happens to know it, what the description is. I'm gonna say this is gonna be for a service, cleaning, making office. I don't necessarily know the supplier, but I do know, that this is gonna be for cleaning and sanitation supplies. If you wanna add in additional details like the start date, end date from a cleaning service perspective, maybe this is something that we need to create a supplier contract for. You definitely can add that in. You could add in a specific price. Or in this case, we're just gonna go ahead and leave that blank and add it to cart. And then finally, the third kind of purchase that I wanna do is connecting to a supplier website. So this is, essentially a third party punch out, and we're gonna go ahead and click Amazon in this instance. Give me a second as that loads. Just a couple of notes as this is loading. We do have delivered partnerships with, a couple of connectors to reduce the implementation time. So you do have CDW. I believe we have Dell, Guest Supply, Staples, Amazon. But customers also have the availability to create their own integrations via external supplier networks. As long as you have their APIs to expand the suppliers for punch out relationships. Give me one second. This is a demo tenant. So, typically, this would go a lot faster than implementation tenant. But, really, all we're doing is punching out to Amazon. And similar to what we did from a catalog perspective, we're gonna drill in to get in a laptop that we will then, punch back into Workday. There we go. Just type in Lenovo. And similar to how you would ever use Amazon. We're just gonna go ahead and add that to cart. But rather than actually purchasing it with Amazon, when we go to the cart to check out, we will submit these items for approval. So, really, what it's gonna do, take us back into our workday screen screen where we have our cart associated with the two other items that we had created. And within those three items, we will then go ahead and submit them for manager approval. So as I mentioned before, we have our desk, we have the cleaning for the main office, and then we have the Lenovo laptop computer. If you wanna continue shopping, you definitely can based off the different, requisition request forms that we have. In this case, I wanna go ahead and check out. Just a, another confirmation screen, make sure we're delivering it to the right address, ship to event, what the specific date is, currency, who is this submitting by. If we wanna add in shipping, we have the availability. If you wanna source the buyer from this instance, you can drill into that. Add in a requisition type, just a couple of fields that you have available. And then finally, from a goods line, what is it that we're actually ordering, goods and then services for that cleaning maintenance the cleaning of the main office that we had. So I'm gonna go ahead and click submit. And now this is going to be submitted to Angela's manager. Let's check that off for approval. So if we scroll down here, what is open, we look into awaiting actions to show the detail. We submitted it by Janifer Carter. And then if we scroll down, we need that approval by manager. So this is just showcasing the business process and how this is going to control the routing of this specific event. And for that, we're actually gonna go ahead and kick it off into Angela's accounts. Alrighty. So right away, at the top, we see that we have requisitions. We have that requisition that came just came in for $929. We can click through it here or we could drive directly into the inbox. And the first thing that I wanna call out is Workday's fly in analytics. And, really, what this is doing and you could configure this. We have three kind of callouts that it's doing. It's showing our requisitions off contract. It's showing our last twelve month requisition. And then as well, it's showing the worker business assets associated to Jennifer Carter. Why this is important? Well, if we look at our last 12 requisition, if she is ordering items from a spend category that isn't typical of what she normally requests, this might be a concern for you. So as you're going through your review process, maybe this is something to look into. As well, if we were to look into what business assets, in this instance, we're ordering a computer for Jennifer. We see that we had an issue date of 2017 for her last laptop. Maybe this makes sense, maybe it doesn't. But, again, it's giving you insight into what Jennifer Carter has associated to her. So when it comes to the approval process, you could take that information in and use it for your approval. Really, what we wanna just showcase here is this is just routing from a spend perspective into from a business process, routing it to Angela, whether you wanna establish different routing rules based off, dollar amount, based off workers' manager, maybe their manager's manager, just depending on the specific item. You definitely have the availability to do that. And then when she's looking at this, she could see the goods that are being associated. And as she reviews it, she's worth shipping too. And, really, I think the where they're mostly gonna be checking is this cost center. So in this instance, most of these values defaulted based off of her employee profile. However, if this is something that she is ordering it for a different area and not for her specific call center, this will some be something that you would definitely want to update. But from a manager perspective, I'm gonna go ahead and click approve. This looks good to me. And if we view details, again, it's just taking us further down the the the process. So if we go down, we see details. This is, again, what's occurring, but then we drill into the process. Now we see, well, Angela approved it. Well, what's the next step? Well, we're gonna be going to the sourcing goods for the requisition. So in this case, we'll be logging in as a buyer to go ahead and source this laptop as well as the desk we have associated. So I'm gonna go ahead and click done, and then I'm going to log in as Michael Choi, who is the buyer in our tenants. So similar to what we saw in Angela, where we have our awaiting action, which is the requisition sent by Jennifer, We can go to our inbox or, in this case, what I wanna do is actually go to our buyer hub. So think of Michael. He logs in on the day. He he goes into this buyer hub and he has essentially this dashboard available to him. He says, oh, what are requisitions in draft? So maybe Jennifer created this, but it hasn't been submitted. You would have it populated here. What are some of the requisitions that we have to source? We see that Jennifer Carter for $9.29. And then as you go down further into purchase orders, you do have that availability as well. So this is more so just a landing page that Michael has to offer, to showcase the different statuses in our tenant. And the first thing that I wanna do, go into the Biohub, go into requisitions to source. Let's go ahead and view all, and I'm just gonna go ahead and open the one that we have for Jennifer Carter. So as I scroll down, again, this is just gonna show the business assets associated, in our tenant. So maybe this is something that I wanna source through from a business assets and storage. She is ordering a laptop, so maybe I don't wanna go ahead and do it through Amazon. Maybe I wanna leverage some of the things that we have in storage and ship it to her. You definitely have that availability. But in this point, I'm just gonna scroll down and kind of look into what we have associated. So the first thing I call out is gonna be this red asterisk. Anything that has a red asterisk in the tenant is going to be a required field. So that means before we go ahead and submit this process, this is something that we need to fill out. This is gonna be for the desk. So in this case, I'm gonna say this is going to be through a purchase order. You could have the option of other. And then if I scroll to the right, we're gonna see that everything else is filled in based off the four fifty, based off the catalog item. We need one item to source, but we don't have the supplier. If this is something that we happen to have the desk on hand, you can associate that here. But in this case, we're gonna say that we're getting this from Office Depot. As we scroll to the right, again, all of this information is going to be defaulted in. If we do need to change the location, we can have we do have that option available to us. And then if I scroll down into our Amazon, we see that this has already been populated. Because we are using that third party punch out, this is gonna be a purchase order. And as we scroll down, we're gonna notice that Amazon is already associated on supplier. And then I'm gonna scroll down a little bit more into this services line, For our cleaning of the maintenance office to source again, it's $0. You do have the option to change this to $400. In this instance, we do have, the supplier as ProTech. There is supplier options from a supplier contract perspective, that you might have negotiated rates that you can associate on this specific requisition. But for right now, we're just gonna leave that as is and click okay. Everything looks good, and we're gonna go ahead and continue through the process. So if I go ahead and click the details, drive into the details and process, and we scroll all the way to the right, we're gonna see essentially a purchase order that has now been associated to these items. So we have purchase order 4504 and 4503. As well, if I were to open this into a new tab, this is gonna take me to the goods purchase order line, and I could drill further into the purchase order itself to showcase the purchase order that was just created for this requisition. We see that the status is approved. And what I really wanna highlight is just as we're looking at this purchase order, if I were to scroll to the right under business document lines, we're already showing linkage in the tenant. So this is really kinda showcasing whether you wanna go into an audit view, whether we wanna track the trackability of these specific items that we have the requisition that was created and we're marking it on our purchase order. As we're drilling into the different items, you have that traceability from call it we're gonna go through our supplier invoice, our purchase order, our payment, as well as the requisition that we saw earlier. So really just kinda showcasing this functionality here. And now what we wanna do is actually issue these purchase orders. So on the top of the inbox, I'm gonna go ahead and say issue purchase orders. For the company, GMS USA. And the document date, I'm gonna say on or after today. And, realistically, what this will do is just showcase all the documents that you have available. I could go ahead and click select all. So you're not having to do this one by one. It is a batch process at the end of the day where we're saying, hey. All the purchase orders that we have created in the system, that have been approved, I wanna go ahead and issue them. So in this case, we see the two that we just created, and I'm gonna go ahead and click okay and finish. So that kinda sums up creating the purchase order. So right now in the process, we've created the requisition. We've sourced the item from a desk perspective associating that to Office Depot. And then finally, we've actually issued the purchase order to then, receive the goods. So that's gonna actually be the next step in the process, which is gonna be the receipt of the goods and services, for the items that we just created this purchase order for. We're gonna go back into Jennifer for this. And then for here, what I'm gonna go ahead and do and what's important in this instance is, hey. She's gonna be the one who we messaged we've mailed this laptop to her home office, so no one else is gonna be able to receive this goods by herself. But if this is something that you're doing into a corporate office, maybe you're gonna have someone who is able to receive goods at the front desk. They have that workday access. You definitely have the availability for that as well. And for that, I'm gonna scroll down into our purchases tab. And here, similar to all the landing pages, it's just a a bunch of different actions or view processes that Jennifer has available to her, and different process flow that she could collect click into. In this instance, I'm gonna go into actions, and I'm gonna go ahead and create a receipt. And, really, what we wanna do is receive, some of the goods that we just created. So if I go into the document number, we could look into our most recent documents, and then we're gonna see the three purchase orders that we just had associated. So we have Office Depot, Amazon, and ProTech. Let's go ahead and click into this Amazon, one for our laptop. I'm gonna go ahead and click fully receive and click okay. This is gonna take us to another screen where we're creating the actual receipt. Because this is a one zero one, we are fully receiving this. But imagine you ordered, some similar items where maybe you were ordering 10 of them or 12 of them at once. You do have the option where you could say, hey. Quantity received. Maybe we don't mark off fully received. So that way you're gonna have the purchase order as well as a a receipt for, six items versus the 12 that you had on that original purchase order. But in this instance, we're only receiving one. And once I submit this, we're gonna see that the business process is now gonna go to Teresa to actually register you see here, the business asset accounting to go ahead and review the trackable items on this receipt. Go to view details, drill into that process one more time. Again, we're gonna see what we just saw, the review trackable lines. And this is on the receipt of the goods. So that again, what I'm gonna do is just kinda click through, once again from your receipt perspective just to to have some other items to pay later on in today's process. So we're gonna go ahead and click Office Depot. Say I don't mark off fully receive when I drill into this. Again, all I have to do is put in one or the corner that we're receiving in this instance. It's updating that to fully receive because it is that one item, but just kinda wanted to showcase some of that different functionality. And similarly, this is also gonna go to Teresa's task to go ahead and review the trackable lines. So we were we received, created the PO. What's next? Well, we need to create the supplier invoice, and finally, we need to go ahead and pay this amount as well. So let's log in to Teresa to do that process. And I know I'm logging in a a lot, because we are showing these different personas. But, realistically, if this is something that you have, a a smaller, call it, procurement team and one person is doing a lot of these processes, what it would just do is route it through their inbox or potentially you can skip approval. But in this case, what we really want to showcase is how we're being able to leverage the business process to distinguish the different security groups and the different access that individuals have within the system, which is then able to control a lot of the spend that you have within our tenant. So I'm gonna go into Teresa's inbox. And at the top here, we're gonna see, two receipts for the purchase order that we just had, the 4503 and the 4504. And, really, what we're showcasing here, let me close down my task, is there are few trackable receipt lines on this amount. So in this case, our desk, if we were to scroll, we have our trackability. So maybe this is a trackable asset in the sense of I wanna maintain it on our catalog. However, in accounting treatment, this is more on the business asset side. It's gonna be expensed because we don't wanna capitalize it versus if we drill into the laptop here. Again, it's showing that receipt line item, but in this case, the account treatment is capital. Again, that's more so on the business asset side. What we wanted to showcase is it's all part of the procurement process and it's routing to the specific individual to go ahead and approve this as the, tractable items. So then when we looked back at that laptop catalog of things that we have in storage, this is what's gonna go ahead and associate a lot of these items to that listing. But really, I just wanna kinda showcase, the fact that these are being routed to Teresa to go ahead and approve from a business asset perspective. And now what we wanna do is go ahead and actually create a supplier invoice associated to these items. So for that, I'm gonna go ahead, go into the menu for Teresa, and we're gonna go into our supplier accounts hub. From here, this is, again, a listing of all the tasks that she has associated. What I wanna do is I wanna find supplier invoices that are on invoiced receipts. And, really, this is just showcasing we we we created the receipts for those two items of the desk as well as created a receipt for the item of the laptop. So if I were to update this search for thirty twenty twenty five, what this is gonna do is showcase all of those on invoice receipts that we had. So we created that, those in the system as Jennifer and now as Teresa. She's gonna use this report, and she's gonna show, the receipt was created by Jennifer. These are the suppliers that we had associated. What is the receipt status? We see that it's approved, the total receipt amount. So I'm gonna go ahead, take a related action off of our receipts here. And I'm gonna scroll down to supplier invoice, and I wanna go ahead and create this supplier invoice. I'm gonna create in another tab so I have that view receipt available. And what you'll notice is all this information is pretty much defaulted. It's not something that I have to create the supplier invoice, enter in all these items. Because Jennifer created the requisition, because Michael associated the specific supplier when he went ahead and sourced this item, all of this detail is being retained. So so you're not having to recreate the wheel. You're not having to reupdate all of these fields. It's literally taking the items that we had already entered into the system, populating that supplier invoice. So as we scroll down through this, we're really not gonna need to update anything. You see we have the invoice line. We have the specific amount. This is the tax applicability that we have associated. All of our related work tags are associated to it as well. If we do need to make changes for whatever reason, you do have the availability. But, really, what we wanna highlight here is the fact that I'm not needing to click anything at this point. I'm able to go directly from the receipt all the way down into creating the supplier invoice, and I'm gonna go ahead and click submit. In this instance, the we're doing a match event for the supplier invoice. If I wanna fill into the view details, again, this isn't going to a specific person. This is something that's matching in the background of Workday. So as that's processing, what I wanna do is actually drill into this supplier invoice itself, take a related action, and I wanna navigate this transaction to showcase, well, hey. In the system so far, we've created that original receipt. So as I scroll down here, this is all being maintained within Workday. So it's showing how on one specific item, we're having all these items associated. So we have our supplier invoice, but as we drill down, well, we have that purchase order. If we drill into the purchase order, we have the original requisition that was created. We drill into that requisition. We have the requisition lines, what the specific item was. If I wanna scroll up and actually say, well, hey. What about the specific accounting that got associated here? Well, I could drill into that operational journal that was just created when we looked into the supplier invoice. We see that it's hitting accounts payable for 520 eights. We have furniture furniture, fixtures, and equipment for 528 as well. All of this data and linkability from one transaction all the way from the beginning of the requisition to the supplier invoice is because we have this all within one system. And when it comes to audit and availability on the back end, say your auditor selects a specific invoice and they say, hey. I wanna see the detail associated to this transaction. Well, this is directly how you would do it. You would go in, navigate the operational transaction, showcase the different things that we have associated. And I'm gonna take it one step further where we're actually gonna go ahead and pay this to this supplier invoice within the tenant to showcase how we could then also associate the payment associated as well. So for that, I'm gonna go in to my settlement page. Here we see the different settlement options, what are items open for settlement. If I wanna drill into this supplier payment, I could view the details of the total $12,000,000, and this is really just kinda showcasing that real time reporting. I'm gonna take this transaction date from a descending perspective, and we're gonna see that 05/1928 supplier invoice that we just were drilling into, right at the top of the list, just really showcasing how once it's in the system, once we know how to improve it, it's ready to be paid. It's not something that we need to do a process on the back end to get them eligible for payment. Once it is approved, we are ready to go. And how that process would work, we would go ahead and create a settlement run. Again, we're doing one specific item, but think of think of of bulk items. Right? So this is something that you might do on every Wednesday of a of a given week, or you might do it by biweekly from a process perspective. It's not gonna be, hey. Each time I create an invoice, I'm gonna have to settle that specific invoice. So here, we're gonna click GMS USA. We'll leave everything else the same. The settlement run date will be today, and I'm gonna go ahead and click okay. We do have a one a settlement process within Workday that is for all tools. So if I were to click add, you see that we have expense items and the company items. So everything is gonna run through this settlement engine. In this instance, we wanna specifically look at supplier invoices, but the but just kinda picture or imagine the different ways that you could say, well, hey. If I'm processing payments on a Wednesday, I can do this from expense reports only. I can include supplier invoices as well as my expense reports. But really once I click supplier invoices, I could drill in by a specific supplier category. Maybe I wanna take advantage of different discount dates and wanna only pay things that have available from a discount date perspective. We can source this and kind of do different parameters on this however you wanna do or whatever criteria you want. And in this instance, I really wanna just do Office Depot because I'm showcasing that specific item that we're we've been using for today's demonstration, and this is gonna show me all things associated to Office Depot. We're gonna see that we have an invoice count of two. I'm gonna go ahead and click into this. Click okay. If I look into the details here, I didn't push that one through. Let me go ahead and click okay and really just go ahead and process this payment. So this is gonna run through our settlement engine. Once it's processed, we're gonna showcase down here at the bottom the Bank of America checking account, which was was maintained on that supplier three sixty that we showcased in the beginning of the presentation. What type of payment type is this? In this instance, to make sure that that process is complete, and we are good to go. So I'm gonna go ahead and view this payment, click into our supplier payment here. And finally, really what I want to do, look into this invoice and drill back into that navigate that we saw earlier. And now we're gonna see that we have additional information. So we have that operational journal. We have the supplier invoice, and then finally, that supplier payment amount. So when it comes to auditing these transactions at the end of the day, because it is all created within birthday, we have both our receipt as well as our purchase order, as well as the original requisition. All this data is gonna be maintained within the tenant. And if we wanna drill into specific, who created it and so forth, I could drill directly into the requisition from this listing. And if I were to scroll down, I could go into that process history as we showed throughout today's presentation, where where Jennifer created it, Angela approved it, Michael went ahead and associated the goods and services for this requisition as well. So this is all gonna be maintained. It's always on audit and its availability for your tool sets. With that, that kinda concludes from a presentation perspective. I'm gonna kick it back to our slide deck, for a second here and really kinda wrap it up before I pass it over to Umbar. So as we mentioned throughout today's demo, Workday customers are seeing tremendous results across their operation. Summarize and just kind of reiterate some of what we saw throughout, there's amplified agility. Many have seen gains in agility. Care initiatives reviews reduced their contract cycles from over two months to just two hours. Western Union processed 40% more contracts, 65% faster, while also reducing spend by about 70%. There's there's just a plethora of information. The Investment Management Corporation on Ontaro was able to control spend a 100% throughout implementation, with the robust procurement policies within Workday. So really just kinda highlighting some items that we have associated here, and that is because of the process that we have available to you guys, and really maintain a lot of those process flows and, procurement process life cycle events that you want to control within your system. So with that, I'm gonna go ahead and pass it over to Umbar to go ahead and for me. Thank you so much. My name is Ambreen Emland. I will be walking you guys through the deploy piece of this presentation. So how to get services engaged, what is available to you, and how you can actually get live on procurement. So quickly, our agenda, it covers, the deployment options for you guys. We will dive into some considerations to look into as you're thinking about your deployment. I will share with you a average timeline to implement deployment as well as, some resources that we have embedded in this presentation, some links available to you so that you can get easy access through community. So with that, let's dive into our deployment options. To get you live on procurement, we have three core deployment options. The right one just depends on your team's desired level of involvement. On the left, we have Workday or partner led deployment option. This is a do it for you model where we handle the full deployment, making it ideal for teams with low internal bandwidth. In the middle, we have deployment through Workday success plans. This is a model that is, do it with you. You drive the project using our accelerators and expert guidance along the way. And on the right, we have the self deployment, which is do it yourself model, and your team leads it and you pull in our Workday advisory support when you need it for specific milestones. So your choice truly just depends and comes down to how hands on your team is and wants to be. So let's dive into each of these options a little bit further. So first, we have, from a services perspective, either leveraging the Workday services team or a partner to help deploy procurement. This slide gets into the heart of why partnering with either Workday directly or with one of our sup certified services partner is a powerful strategic move. It, boils down to three key advantages. Right? First is streamlining operations and cost efficiency. Many organizations we see are dealing with fragmented processes and high overhead within procurement. By leveraging a deployment partner, you're guided towards a more centralized and standard approach. You're coming they're coming with you with all that expertise from all the various deployment. This simplifies how you deliver these services across the board. It most importantly, it drives down cost by eliminating redundancies should your team have to do it themselves. The second key advantage here is that you gain access to specialized expertise and scalability. Meaning, instead of trying to build and maintain a large internal team for every possible need, partnering with either Workday services or a services partner. From the Workday side, you tap into that deep bench of experts exactly when you need them. This gives you the ease of ramping up a major deployment and scale back down easily, saving you significant time and money as well. At the bottom section, what we have in blue shows the broader learning resources you can leverage. This is broken down in flexible paths like self guided approach. This is your on demand library. It includes fundamental training, procurement concepts, security, as well as tactical webinars on things like optimizing use cases, things like that. And, also, we have the expert approach where you can ask an expert. This is incredibly valuable because instead of just general training, you can ask specific strategic questions like, what are the most common configuration regrets other clients have round across? What is a quick win reports that we should look to adopt as well? So this allows us to ensure that it combines both the self-service learning, peer to peer collaboration, and direct access to our Workday experts so your work your procurement deployment is a success from day one. Our third deployment option is self deployment. So for those who choose to do self deployment, model, this is optional advisory support in detail. So we call it expert assist. This isn't a big traditional consulting project. It's the opposite. It's fast. It's remote. It's small and well defined projects. So you get a clear scope. You use the hours needed for that pre author from that pre authorized statement of work, and it's a perfect way to self sufficient your team to get specialized in the tenant help right when you need it, without any administrative delays. So this is the self deploy model, and this is what the expert assist, really looks like. It's getting all those things in play where you have this statement of work in place. You have your, other team in place to make sure we're deploying it right. But one of the key things that I want to call out, some gotchas that we want to ensure that for a successful self deployment, it really comes down to three things. One is your team. On the left, you need a strong Workday configuration experience, and on the right, you must be a dedicated deployment team. This is key to a successful deployment. Your scope. So at the bottom left, you see you need to be aware of your complexity drivers, like volume, like legacy systems, like integrations, for example. All of those things matter, and your scope drives the complexity. And lastly, your resources. So we have that in the middle. You're not alone. Success means leveraging all available resources. So even though you're deploying it yourself, you still have expert assist. You still have WSP that you can lean on, and you have your our key lesson learns to guide you through community as well. So what are some considerations we want to call out as you dive into this procurement journey? What I have done for you here is sampled out some of our discovery questions, that we want you guys to ask internally. You know, for example, how are you guys receiving your your goods? How many open POs do you guys have at the end of, the month? Will you be converting those over? How many legacy system? How many integrations are we looking at? And the bandwidth of your team. All of these things really factor into when you can start the project and which deployment approach will be the best approach to go with. So we've started the legwork for you with some discovery questionnaire. This is not an all encompassing list by any means, but it's a starting point. I also wanted to show you guys, a sample timeline. So this timeline assumes that you guys are already live on CoreFin. If you guys are not live on core fin, then the deployment will be via, we would advise you guys to just go live with core fin plus procurement. But if you guys are already live on core fin, then it on average, it takes about five months, to deploy procurement. It can be lower, like, as early as three months for a small to midsize, organization. For a large, organization, we typically see three to six months deployment. The factors driving the timeline are really all about how well are you adopting the Workday best practices already coming in, available to you through the tenant. So are you customizing those process flows, or are you adapting them as is? How many integrations are we looking at? Those add complexity and adds time to your overall timeline. Also, data conversion is a big piece. How many purchase orders, do you have? Like, if it's a hundred, two hundred, no big deal. But if you're looking at thousands, then, you know, you wanna make sure that your team has the bandwidth to really take those on and validate them once they're loaded in. And last but not least, complexity also comes from, like, training. How big is your team? How many folks is are going to have access to procurement module? Who will be transacting? Who will be impacted? And how will they be packed impacted. So training all of those individuals, you also wanna factor in because we want to ensure that you're not just going live successfully, you continue to thrive post school live as well. Some training and resources for you. So we do have a training course available for our procurement administrators. It's four credits. It's to learn virtually as well. So you can learn at your own pace. I have also embedded in here some community guides to walk you through that will help explain Workday procurement, what it entails. So kinda going back to everything that Brendan showed you during the demo, it kinda summarizes that in a document form. We also have videos available on community that dives further into the procurement functionality that you can leverage. So all of those links are embedded here, for you to avail. And outside of that, once you guys decide that, yes, this is where we want to go and we want to leverage procurement and deploy some next steps for you guys, you know, make sure that you are connecting with your account executives, you are connecting with the services executives here at Workday as well. They can really help guide you in terms of, like, when should the deployment be started, how long it should be. They will also review the scope with you and help you estimate, not just the scope and the cost associated with it. The services executive can also help you with your resource allocation or resource heat map, what it will take on your end to help deploy procurement. And then sign your SOW and have fun. This is a great tool where many of our clients are already live on and are transacting in for years, and they'll continue to even take on additional enhancements that have been rolled into procurement and other, new products that Workish rolled out to complement procurement.
