As mentioned before, please ask any questions that come to mind throughout the through the webinar using the q and a tool. Let's try to do this interactive. So my name is Christina Justes, and I'm a principal solution strategist covering EMEA. I am delighted to be joined today by our valued customer, Sam Bullen, HRA athlete at Northon Rose Fulbright. Sam, would you please take a moment to introduce yourself and your company to the audience? Thank you, Christina. Hello, everyone. I'm Sam Bullen. I'm the HRAS lead here at NRF. I've been here for two years now, but I've been in the Workday ecosystem ecosystem for, what will be seventeen years, this year. NRF is a a global law firm, and we have been live with Workday for, just over two years. And we are live in The US, and EMEA, and we are just about to start a project to bring on our Australia region. And you can see all the stats there about us as a company on the slide. Fantastic. Thank you, Sam. And how is how is your team, the HRIS team, structured at your your firm? So we have two teams that I support. One in The US where we have five people, and we have one team here supporting EMEA but based in The UK. There is a team of four of us here in The UK. And we have subject matter experts across most of the different modules that we have, such as recruiting and absence payroll in The US. And we're just about to go live with time tracking in Germany, and we are just also about to go live with talent and performance in EMEA. Fantastic. So before but before we want to hear from you, from the audience, to understand where are you in your in your journey with a quick poll, Which so which of the following best describes your organization's approach? Can we okay. So you have success plans. You are planning to get worthy success plans or not yet, and you are curious to learn more. If you could please answer, that will help us tailor a bit more the presentation for for the audience. So I'm curious, wanting to learn more. Okay. Planning, planning, and curious. Some customers. Fantastic. Okay. Thank you for that. So for those of you that are curious to learn more, let me let me walk you through what WorkD Success Plans is. So WorkD Success Plans is our subscription based plan that helps you as as working customers to improve the adoption and usage of the of of of of working. We have three offerings depending on the size of your business and also your complexity. Essentials, that is for small and mid medium businesses that are looking for a light support service. Accelerate is best suited for ME and lower end of LE market, so larger companies that are looking for more support and guidance. So for example, doing deployment, intent and advice, etcetera. And then we have accelerate plus. That is our largest and most so it's for our largest and most complex customers, which includes premier technical and strategic support and guidance. Today, with Sam, we are discussing Accelerate Plus, so the higher tier. With Accelerate Plus or discussing Accelerate plus, of course, we cover the three the three offerings. Right? So you the Accelerate plus team includes the customer success manager that drives adoption and further innovation. This this is also available at at accelerate level. The managing partner that aligns with leadership and helps create road maps and strategic plan. Plans. This is available at accelerate plus level. The deployment success manager, which guides the customer through deployment. This is available at accelerate and accelerate plus level. The technical account manager who takes care of the technical aspect of the tenant, only available at Accelerate plus level. And then the consultant, which is the one to one point of contact, which is available at the three tiers. So in a nutshell, this is a very busy slide. We call this the dot slide that that summarizes what what is included in Accelerate Plus. So, Sam, your company is celebrating one year with WorkDig Success Plans Accelerate Plus. Looking back, what was the primary driving force that initially led you to choose this this solution. So after we went live, the team did rely quite heavily on our AMS provider, due to a lack of investment in their training, during the implementation. We also have an additional implementation tenant which had been given to us for free at the time of the implementation and and for a year afterwards that we were going to need to start paying for. We then looked at the price of the tenant, the amount of money we were spending with AMS, the amount of money that we were spending also for release management with our AMS provider and how much this training would cost. And when we sort of wrapped all of that up, it made quite a lot of sense to look at Workday success plans when we spoke to our account executive and our customer success manager. So we really built the business case around that, the fact that we were going to repurpose that spend to purchase Workday Success Plans, still have a bit of a pot for some AMS hours. But because we've got the tenant, the additional tenant free with WSP, we've got all of that training that it offers and we've got access to the release webinars, we were able to do all of that with WSP without sort of having to spend any more money than we were. But we also got quite a lot of additional benefit with WSP as well, which, you know, I'm sure we'll come on to in a moment. But that was the main reason to begin with, and we have managed to keep our AMS tickets down considerably about 90 on last year reduction on last year's tickets. Wow. That's an impressive metric. So not only not only that, but with the help of worthy success plans, you were able to build internal expertise and also self deploy functionality, like, for example, talent and performance across EMEA. This was a big transition from a high dependency model or relying on the EMS to being self sufficient. Right? Right? What services of what the success plans can help you drive these internal self sufficiency some? Sure. So first and foremost, we have the ask an expert. So instead of having to rely on an AMS provider, we had four AMS tickets that we could use each week, that we can use each week, and the team has had a lot of benefit from that. We obviously then had access to the training and being able to upscale our teams with that training has obviously meant that we've been able to become a lot more self sufficient. With the release management sorry, with the release webinars, we are able to manage our own releases, the biannual releases, without having to rely on an outside AMS provider. And so with these different tools, we've become a lot more self sufficient as a team the deployment guidance services, just to touch on that, the talent and performance implementation. The deployment guidance services has helped us deploy that completely by ourselves. We do have a member of the team who is a talent expert. But in terms of having that sort of, I guess, second pair of eyes to to look over everything from, you know, when we were in planning phase all the way through, you know, to build, test, and go live has been really, really useful. Regular meetings with the with that consultant has really helped us, you know, make this a success. Thank you, Sama. How many Workday Pro? So talking about the the education and and and training that the team we've we've received. How many Workday Pro do you do you have in the team? So we we do have a couple. We are looking to get more and more of the team Workday Pro certified this year. We have had a very busy last sort of twelve months, and we have a very busy twelve months ahead. So sometimes trying to carve out that time to not just do the training but then do the pro certificate on top of that you know, is is is not always easy, you know, regardless of where you are in your workday journey or whether you have WSP or not. But we have a lot of incentives to do that personally as well as, you know, within NRF to make sure that the team get as much of those certificates as possible. Fantastic, Sam. So Sam mentioned two services. One well, mentioned some some services, but I want to focus on ask an expert, and we will then talk about the deployment guidance service that he has touched upon. So the ask an expert is a key feature of working success plans. It's our on demand in tenant one to one consulting support. So it it would be great, Sam, if you could share some Ask an Expert use cases and how Ask an Expert has accelerated the change for NFR. Yeah. Thank you. So as you can see here, we've got a couple of use cases. Again, to touch on the talent and performance deployment, There were times during that project that we needed very sort of specific technical advice that whilst we had the DGS consultant, we only have that person for a certain amount of time, you know, certain meetings throughout the project. So as our talent SME was deploying, there were times where she had sort of more functional technical questions that she wanted to get some advice on. And Ask an Expert was perfect for that. Being able to raise those questions and get a very swift answer meant that, you know, we could continue that deployment without any hurdles. The other example we've got is one request that we had from the audit team within the business that wanted a report on stale implementer accounts. Again, due to people being very busy, I also had someone out sick. I didn't have any capacity to create this report, but it was pretty urgent. So raising an Ask an Expert ticket meant that I got a consultant to create a report for me and I was able to test that and then migrate that to production. And that was really going above and beyond a little bit to actually create that report from scratch. So I was really grateful for that and it was really useful and meant that I could get on with the rest of my day without having to spend at least half a day trying to work out how to create this report myself. Thank you very much, Sam. So in the first use case, Sam mentioned the DSM, which is the deployment service manager. We will talk about deployment guidance in a minute. So ask an expert help help solve some of the issues that that you couldn't or your team couldn't solve internally, Sam. But beyond the ask an expert, what other resources what other additional services were most instrumental in driving internal adoption and improving the overall user experience of our days at NFR. the optimization packages have been really beneficial. We had been looking at some of these with our AMS provider before we went to Workday Success Plans. And obviously, that comes at a price for them to do a deep dive on, you know, specific areas of our of our system. Being able to have optimization packages with WSP meant that we didn't have to spend that money and so we were getting even more value than we had initially realized. The benefits of the optimization packages themselves have have essentially been around looking at our tenant, looking at, the functional areas that can be improved with the health checks. So things like absence, benefits, payroll, you know, doing a deep dive into those and seeing where we can configure them better. There is a security module, similarly looking at how our security can be improved, which again has been really beneficial. And the rapid assessment of support and governance has enabled us to take a step back and look at how we manage our system with both of the teams and with our key stakeholders. And that's been really, really insightful because it's just enabled us to set in stone, you know, a lot more around governance and, who does what and when. When you combine that with security, it's been a really good opportunity for us to set in stone how we work going forward so that there are no challenges or hurdles around, you know, who's who's responsible for for what and who which security people get and how that's assigned. So for those in the audience that are exploring workday or success plans, the optimization packages are a menu of defined packages. You can see the menu on on the screen, which offers tailored guidance from Workday consultants, Workday experts in a specific focus areas. So Sam has mentioned security and specific functionalities like like absence or or talent. Right? There's technical. There's also governance and change management type of guidance. Right? And it's a minimum of fifty hours of consulting work. Some of them are more than fifty hours. Some of them are are are are fifty hours. But in general, it's a longer project than than than the Ask an Experts. And these these are some of the use cases that you were walking us through. Right, Sam? The security review, the prism optimization, and the rapid assessment of the support and governance model. That's correct. Yeah. So Prism is Prism optimization is something we're currently going through. So that's giving us a really good insight into what else we can use Prism for over and above what we're currently using it for, which is really just for historical data, but also some calculations and reports for our annual salary review. It's obviously a very powerful tool, Prism, so we want to be able to get as much benefit from it as possible. And going through this optimization exercise, much like with the other optimization packages, you know, where we had sort of three or four sessions, you know, with with a Workday expert. We found we're finding these really, really beneficial, you know, really good opportunity to have a workday expert that we can, you know, have really meaningful discussions with and then get all of their advice at the end of those sessions on how we can improve our system. Fantastic. Thank you for sharing. And worthy releases hundreds of new features twice a year, and many many customer experience the feature fatigue and stop adopting some of these features. Sam, your team has gone through a feature adoption workshop, and we would like to know how has has it helped you. Sure. So now that we are able to manage our releases internally ourselves, you know, that's that's really beneficial for us. However, whether we manage them or not, I'm sure a lot of customers, you know, realize this issue of, well, a lot of these new features that, you know, we don't have to take on straight away. They're optional. With our busy day jobs, when do we get time to look at those and and bring those into our system? The feature adoption workshop acts as a way of revisiting all of those features that we don't currently use and therefore help to generate our road map going forward. It's really nice to see these features listed out for us with, you know, sort of some key descriptors such as quick wins, for example, the admin dashboards or data scrambling versus the much bigger pieces of work such as buying and selling time off. So having all of that information in one spreadsheet at the end of this workshop was really, really useful. And you prioritized a list of 78 features, is that right, in the last workshop you did? Yep. Yep. So there were 78 features that we realized we hadn't switched on. Obviously, being able to talk through those during the workshop was really beneficial so that we could get a better understanding of what they are and what they do if it wasn't always that obvious. And then, yeah, like I say, with the the descriptors of whether they're quick wins or, you know, bigger pieces of of work, we're able to prioritize much more efficiently. And create that road map right with the most Yeah. urgent features, let's say, to adopt and so on. Yep. Fantastic. We so we have spoken about the deployment guidance service throughout the presentation with the ask an expert. Right? Because n r f n r f sorry. Because before I just pronounce it incorrectly, they they they use the deployment guidance service and then use us as an expert to to to cover some of the of the challenges. So you were able to to oversee deployments, some of the deployments that you self deploy, and mitigate some some risks. So could you walk us through how the deployment guided service help your your team. Sure. So when we bought in our talent SME into NRF. It was always with that sort of aim of of of having her help deploy our talent performance module. Now even with, you know, someone with that sort of level of consulting experience, with that module, we still kind of thought that we would need some support from maybe an AMS, provider, around that sort of, you know, engagement manager role perhaps, you know, reviewing the plan that we put together, making sure the timelines looked correct, making sure that we'd, you know, thought about everything that we needed to do throughout that project. We got all of that with our deployment guidance services and that consultant that we had access to through that through that feature. It's essentially meant that this talent deployment has not cost cost us anything in terms of additional AMS support. And, you know, this is you know, we've spoken about quite a few things now. You know, we were originally just looking at, you know, AMS costs from a general BAU perspective. We were looking at training costs, release management, additional tenant. And we were able to build a business case just on that. Then when we got all these additional benefits, you know, you can really see why Workday Success Plans is is really valuable because we're seeing all of this additional cost avoidance, you know, with optimization packages, with the deployment guidance services, with the feature adoption workshop as well. So, yeah, it's really, really beneficial across all of those aspects. But again, yes, the DGS has, you know, helped us deploy a really key strategic module within NRF. And, you know, we're looking at other modules as well. So we're hoping it would be really advantageous going forward as well. I believe that without the training, you on on the deployment guidance service, you wouldn't have had the knowledge internally, right, to to self deploy the this point the talent and performance functionality. Right, Sam? Yeah. Not not not the entire project. Right. Yeah. Like I said, we did have the SME or we do have the SME on board who's brilliant. But, yeah, there's always gonna be little bits and pieces that we don't know from a configuration perspective where, you know, our ask an expert tickets have have proved useful. And then the DGS consultant has helped us from an overall planning of our project and, you know, that kind of regular fore eye check on everything as well, including the configuration. So that's been brilliant that we've been able to have someone, you know, supporting us throughout that project and supporting our SME just to make sure that everything is is done correctly. I see. And as part of your subscription, you also have a technical account manager. Mhmm. Could you share or tell the audience how the technical account manager has added value at n r NRF? Sure. So we we benefit from our technical amount account manager with the regular monthly health check calls that we have. You know, we are able to make sure that everything from a technical perspective in our tenant is working as expected with those health and hygiene calls that we have. There's also the sort of more proactive piece that the TAM gives us when it comes to, for example, annual salary review. So, you know, are there times like that particular activity when we're gonna have lots of people going into work day at the same time, you know, in which case we may need to, you know, sort of bolster that tenant a little bit more to be able to cope with all of that access. So that's been really helpful as well. Then when there's sort of more ad hoc things, you know, we had an outage recently, then we've got someone that we can call upon straightaway to see, you know, what's happening, you know, when when we're likely to, you know, have a resolution to something that's not working properly, But also to kind of escalate where necessary any issues that we're having that we may have not necessarily raised and asked an expert for but, you know, a natural Workday case where something's not working properly. So, you know, having that additional support has meant that we can deal with these issues that come up more effectively. Thank you. You very much. So just to wrap up, through Workday success plans, the n f NRF team was able to achieve some some benefits. So the first one, let's say, around efficiency and being able to to strategically deploy talent and performance using the the services included within Workday success plans. It also help the team with development, enhancing the skills and the team skills, being able to manage in house releases, and also relying or reducing the reliance on on external external partners for the day by day use of of Workday, and also reducing, of course, the cost, while improving the data quality and and the tenant, let's say, health. They have also created a self sufficiency model with with the with Workday success plans. They are managing their road map internally and also building internally the strategic plans by by managing the day by day over day in internally. Right? This is the key achievement the key achievements. How's the so what what what does the the future look like for for you and for them for n r NRF, Sam? Yeah. So as I mentioned earlier on, we're looking at some additional modules within Workday. So rolling those out with the help of department guidance services would be key. We are hoping to bring on those 800 odd people in Australia. So again, you know, we have resources within WSP such as adoption kits that will help us, you know, tailor a lot of our change management documents. We've got learning that we need to look at as something that we're looking at as something we need to deploy pretty soon as we've got a bit of a burning platform with our current supplier. And continuing to improve certain aspects of our existing tenant and SKUs such as recruitment in The US. We're looking to sort of do a bit of a redesign of that to make it more efficient as well. And then obviously, everyone's talking about AI. So we have a very keen eye on which AI agents are coming down the line and where they would benefit NRF. Because where these success plans can help you with your AI objectives, creating creating a plan, helping you create a plan to meet to meet your your objectives and and your goals, and and helping you or guiding you to which to to to choose which aspects of of Workday AI could fit for your for your businesses or companies. So for everyone in the audience, Sam, what what are the top three key takeaways that you would share or that you would recommend? Yeah. So we spoke quite a bit about the optimization packages. They they really are so beneficial, really being able to do that deep dive on different areas of of not just the the Workday tenant, but, you know, how you manage Workday, you know, has been key for us. And, you know, one of the I actually attended a session like this before we had WSP, and I think one of the key key pieces of advice I had there was to book those packages in early. So as soon as you get WSP, you are able to book. We have we we we four a year, and you can just book them in straight away. So as long as they're booked, you can then work out how they fit into your calendar throughout the year. But if you wait until the end of the year, then it it might be difficult to get them booked in because, obviously, you know, Workday have to stand up, you know, resources their side. So it's important to put them in early and really take advantage of those because they they really are brilliant. We spoke also about the deployment guidance services. It's, you know, saved us money. It's helped us deploy key SKUs really effectively. And when you consider that and that cost avoidance as well as the optimization packages, You know, Workday Success Plans really does pay for itself and some. With access to a huge library of training courses, you know, we've been able to upscale our team to become much more self sufficient. This means that going forward, we will rely less and less not just on AMS but Workday Success Plans to a degree as well. Once we've taken advantage of every single feature. But, you know, when you look at all of the different aspects of WSP, there are other areas that we've already spoken about that can help as well as, you know, making us more self sufficient. But the real key here in terms of, you know, having access to that training is that it's not just about upskilling your existing Workday team. It's the ability to upskill other people around you, around that team. You know, where else in the business do we have people that go into work down a regular basis? Our subject matter experts in certain areas of human resources, Do they have one eye on, you know, becoming a, you know, a systems expert like I did seventeen years ago? We do have people like that here at NRF. And so being able to get them upskilled, we have a really nice succession pool of people, you know, should anyone in the team leave. So, you know, all of these benefits that we're more than back to that original business case of just moving that budget from a few areas or from AMS, sorry, and training tenants to WSP, you know, we've we've we've witnessed so many more benefits that we continue to take advantage of. Thank you so much, Sam. So let's let's continue the presentation. I see I see I see the q and a burning. One question that that I see on AI, maybe I can I can clarify be before we continue? So within the WSP offering, this in the different services, AI recommendations are included. So, for example, the feature adoption assessment, the accelerator webinars, the learning, the optimization packages, it includes AI related recommendations, right, to help you drive your AI innovation agendas. So that that was one one of the questions that that came through. So and before going into the q and a, let me clarify a bit more of what what is what else is available that we haven't covered with with Sam today. So in general, I I wanted to share that our customers who use Workday success plans are are more satisfied and are adopting Workday better than those customers who don't. I see a question in the in the chat in the chat. So when you sign when you become a a customer workday, let's say that you become a standard support customer workday. And for and to get one of these subscription plans, right, it's it's like another additional SKU. We have three tiers, as I was explaining, essentials, accelerate, and accelerate plus. Accelerate plus, that is the level that we we were discussing today with Sam, is the higher the highest support service. So if we continue, our customers who who have signed with Workday success plans are are seeing five key key benefits. Some of them we have spoken about already, elevating the team, the the skills. Right? Being able to skill up the internal teams, driving value from from day one. Even if for all all all of those customers that have been a work customer for some time now, with verdict success plans, they can they can use some of the services right from from from day one, right, and start achieving value. So for example, like, ask an expert or the feature adoption workshop that that that Sam was was mentioning, focusing on the features that you have not adapted. You will have dedicated people, dedicated team to support with your strategic objectives, right, and also your technical objectives to one one question on the the q and a. So, yes yes, you have dedicated team. And and the the people that vary, let's say, is the consultants. So depending on the on the type of engagement and also the questions for on the ask an expert, you will get one consultant or the other because we assign the consultant by level by by expertise by topic of expertise. That said, if you have several questions, several asks on the same topic, we try to allocate allocate you or we try to to get the the same consultant to you if you were satisfied and and happy with with with the answers. We our customers, they also well, WorkDig success plans helps with the innovation. Right? Absorbing all the innovation that WorkDig delivers and with the AI agendas. And we also give you a chance to connect with other WorkDig success plans peers and and give you access to to those customers, right, to discuss and and share some of your experiences. And one of the features that is part of accelerate plus, which we haven't mentioned, is the feature accelerator with coaching. This is a library of self guided materials, so more education. And when when you go through this this this education, these these materials, you also have access to consultants to ask specific questions on on on the topic that you that you have gone through. So additional tailored guidance if you if you wish. This is a the library or some examples of the feature accelerators that we that we offer. And we are continuously bringing new things to market, new feature accelerators, new training, right, and new accelerator webinars as well to to help you keep up to date. So with that, let's go to the q and a. It was a busy a busy q and a, so let's see those that were not answered. Okay. So we have one question here. I don't know if I can put it on the screen. Well, one one of the questions, can this can work these success plans be used to plan delivery of of a multi phase project? Can you please clarify what work these success plans is and what is not? Thank you for thank you for your your question. So I I believe you are referring to the deployment guidance service, specifically for the delivery of of the project. In general, where the success plans include includes guidance through deployment, but it cannot be substituted by by your partner, right, for for a multi phase project or or working case you are priming with working. Let's say it's another pair of of of files into your into your delivery project. If it's your initial deployment, you will you will have somebody from from Workday into your steering committee if you if you are an accelerate plus customer giving updates on on on how the project is going. That is included as part of work the success plans. But but it cannot be a substitute of of of your delivery or or or your partner. Right? We can we can follow-up on this question because it's a bit more complex, right, to to answer now. I hope I hope I could I could answer or I could give you a glance of of of what you were looking for. Which tier of support is needed for Ask an Expert service? Ask an Expert is included at all tiers. So the difference between one tier and and the other is the amount, the allotment that you get per month or per week. With essentials, you will you will get an allotment monthly among the allotment. With accelerate and accelerate plus, you will get a weekly allotment of Ask an Expert. What else? So this is a question for you, Sam. Can your company quantify the value proposition? So your tickets were reduced by 90%, but there is a pound benefit. Yeah. So I I have I've just put an answer on there, actually. But, yeah, basically, we we like I said, we repurposed that budget. So we had a budget that incorporated how much we would normally spend on AMS, how much we'd need to spend on training, how much we'd need to spend on release management, and how much we'd need to spend on tenant, the additional tenant. So we looked at that as a total amount of money. We looked at how much we would have to pay for WSP, and WSP was came in at a little bit less. So we had that difference between the total budget and what WSP would cost. The difference was our bucket there was therefore a bucket of hours with our AMS provider, which was, you know, 90% less than what we'd paid the year before. So, yeah, that's that's kinda how we how we did it. We we haven't gone outside of that bucket. And so, you know, like I said, we've we've managed to utilize all of those elements. We have used some of the AMS hours, but we've also used the Ask an Expert, the training. We now do our own release management. We have that tenant for free with WSP. So, you know, we're not spending any more money than we did the year before in total, but we're getting all this additional benefit and cost avoidance, like I mentioned before, with deployment guidance services, optimization packages, feature release, all that kind of stuff. And the next question there is just underneath relates to the governance of Ask an Expert tickets. We do have some governance around that. Essentially, so we have four tickets a week. We allocate two to The US and two to EMEA. And then within those teams, we essentially decide, you know, what is the priority, you know, what's most urgent. And there are some weeks where we actually struggle to muse all four between us because, you know, as the self sufficiency increases, people's knowledge increases, you know, we're able to deal with a lot of the incoming queries ourselves. But on the whole, we do try and use tickets as much as possible because even if it's, you know, not an existing query that you might have, there might just be something that you've been thinking of at the back of your mind, you know, about something relating to Workday. You know, can it do this? Can it do that? How would I go about, you know, deploying, you know, a new module? Or can you tell me a bit more about some, you know, other areas of Workday or what I need to think about with the new release coming up, that kind of thing. So, you know, you can utilize these Ask an Expert tickets in in in different ways. It doesn't just have to be a fix break situation that, you know, you're trying to resolve. Their customers, some, what what they do as well. For example, they included in the they include the ask an expert topic in their meeting, in their weekly meeting, and they create, like, a backlog of ask an expert questions. that they would like to ask. And in the meeting, they prioritize which fours or four questions to ask that week, for example. In your case, four to us that week. If any given week they don't have enough, they will go to the backlog of questions, they ensure that way to always use them the the ask an expert that they have available. Yeah. It's a brilliant idea. We did think about doing that, but we just got so busy. Normally, it was just something that was coming up at the time that we wanted to that was quite urgent that we needed to use the ticket for tickets. Fantastic. I think we covered everything.
