Transcript for "Resilient by Design: Inside Neighborcare’s Planning Transformation": Hello, everyone. We'll be getting started in just a few seconds. Okay. I think we should get started. Good morning and good afternoon, everyone. Thanks for joining us today. Today, we're gonna be learning about NeighborCare Health's secret to building a resilient planning process with Workday Adaptive Planning at the core. I think we can all agree being resilient is more important than ever before. By the way, this webinar will be recorded and everyone here will receive a link to that recording after this webinar is complete. So we have a pretty simple agenda today. We're gonna kick off with some quick intros, and we're gonna dive into a fireside style with unique men from Neighbor Care Health, where we'll learn how they transform their planning culture. They connect with people and purpose and data to create a more resilient and process. Then we're gonna do a short demonstration. I should be a little bit more clear. We have Nolan here that will be doing a short demonstration of some of Amy's favorite adaptive features. And we'll give you a brief glimpse at the same time of some newer innovations that I know Amy is really excited about adapting. Last, we'll close and how we'll talk a little bit about how you can learn more about Workday adaptive ive Planning. We actually will leave about five to ten minutes for live Q and A at the end. So if you have questions, go ahead and pose them in that Q and A box there. I'll try to address them at the tail end. So what we're going to show you today is live product. We may, however, talk about futures. If we do, we'll let you know. We'll be sure to be clear there. But please make any buying decisions based on what's commercially available. So I'm Linda Hall. I'm from the product marketing team team here at Workday, and I focus on Workday adaptive planning. We have Nolan Southfield with us as well from Workday. He's a senior solution consultant, and he'll be doing the demonstration a little bit later on. I'm gonna ask him to introduce himself just before he gets started with that demonstration. And we're both thrilled to be joined by Amy Dement. Amy, can you do a quick intro to let everyone know a little bit about yourself? That'd be great. Yeah. I'm Amy Dement. I am the controller at NeighborCare Health. I've been with the organization for about twelve and a half years now, and my first time in health care, but not my first time in the nonprofit world. And so I'm really excited to be able to share with you all what we've been doing. Excellent. And on that note, I wanted to level set a little bit. Can you tell us a little bit about Neighbor Care Health as well as highlight how you are using Workday products? Yeah, so we are a federally qualified health care center. We focus our patient population primarily on those that are uninsured or underinsured in the state of Washington and the Seattle area. We provide medical services, dental services, and behavioral health services both in physical clinical locations, but as well in our school based health centers, throughout the entire city of Seattle, as well as in some supportive housing and in the homeless encampments around the area. Excellent. We. have we have, about, 650 employees across our 34 locations. We do serve around 57,000 patients. That was our last count in 2025. And currently, we are only on Workday adaptive planning, integrating with outside systems, but we are currently in the process of implementing our Workday core financials, grants management projects, and the CLM product. We do have on our road map to move to the Workday HCM products and payroll products, which I'm really excited about too. That's a lot going on to say the least. Always. So at Neighbor Care, we believe that everyone deserves quality health care. Our goal is 100% access with zero health disparities. It's a lofty goal, but we do our best to, see all of the patients that we possibly can that need our help. Our core values were focused on social justice, cultural sensitivity, community, and excellence, and that feeds into all of our individual programs that we're functioning in, and all the services that we provide. Select. Okay. So let's start talking about your your transformation with Workday Adaptive Planning, and seems to me every transformation has something in common. It starts with some sort of problem or some sort of pain that you're trying to solve for. So let's dig into what that old world looked like for you. What were some of the biggest challenges or maybe bottlenecks you experienced before adaptive? So, basically, tell us what problems you were looking what problems you had that led you to looking for a new planning solution. Yeah. So as many organizations, we started out doing our budgeting in Excel. And when I started at NeighborCare, we were, functioning all of our budgeting out of Excel. I will add our team in the finance department is very small. There's five of us, including myself, and two of us focus on budgets. And so preparing 30 spreadsheets or more depending on all the volume of, locations that we had where the two of us were doing all of the budget preparation in the Excels and distributing them out to managers. Of course, in Excel, there's a lot of things you can do with formulas and protecting, but there's always still opportunity for errors to happen because of things getting overwritten. And then once you have the data, it's pretty stagnant. It just is what it is, and it's really hard to be able to use that data in your decision making. With that, it became a lengthy process because it takes time for us to complete the workbook, send it out, get the managers to complete the information that we're looking for from them. Then we were able to produce a a version that we had to combine all of that information together into a single location to get our senior leaders review, and it only allowed for maybe one or two versions that our senior leaders were able to really review and understand what that next year is gonna look like. And so we spent so much time gathering data that we didn't really have a whole lot of time to review the data and make sure the data makes sense and be able to really act on the information in order to make improvements in the next year. Yeah. It sounds like I I can only imagine with only one or two versions for their senior leaders to be looking at, that doesn't give them a a breath of of different versions to analyze or understand in order to help support their decision making. Did you feel that. as well? Like, were they looking for additional what ifs and that kind of thing that is just so difficult if you're. using Excel? Yep. Yeah. So we did actually move to a different budgeting system in 2019. It did give a little bit of improvement. It helped in consolidating the information, but there was still time where we were using Excel to prep data and load data into that system. And while there were calculations for some things, those calculations took very long and sometimes. hours to process. So that led to us having to work outside of normal business hours to actually accomplish all those tasks. And so while it made small improvements, it really still wasn't where we needed to go and what we needed to do in order to be successful. And I've seen that somewhat in my experience where you pay for a system, but all it's really doing is aggregating data for you. And that's helpful, but if it doesn't have the right assumptions and the right agility or adaptability to to model and connect models, then you're really limited in the kind of value you can see from it. I I don't wanna put words into your mouth, but it sounds like that might be true here. Yes. Yeah. Okay. So you went live with Workday Adaptive Planning just about five years ago. Can you share what the top priorities were for your team in that implementation? Yeah. So, you know, when we oh, a little background noise there. So when we went and started looking at at what system we wanted to do and how we wanted to implement it, we wanted to make sure that we were gonna minimize errors. We wanted to make sure that we could use formulas to drive our calculations for the next year based on historical content. Mhmm. We wanted to make sure that managers had the ability to own their budgets, to be responsible for understanding what's happened and what is going to happen in the new budget year. We wanted to make sure that we had that quick turnaround like we were talking about where we could produce information and get an output that could be actually used to make decisions and be able to turn around another version and another version as we needed to hone in that budget. We wanted easy reporting for our managers and for our finance team. Maybe a little unique to Daybreaker, but something we were also looking for was the ability to produce daily expectations with actionable data for our clinic on the volumes of patients that we were seeing come through our door, and Workday's been able to do that for us. So we have built budgeting across our programs, locations, and cost centers for both revenue and expenses. We have built in assumptions that drive various accounts from the company perspective and from service lines individually, things like our taxes and benefit Mhmm. percentages, things like inflation, our MEI, our productivity expectations because every job and program and location have different productivity expectations for the the day in the year. We built in budgeting for our schools to be able to identify when school is out, so calculations don't happen during those those times. So those drivers and those assumptions have been super helpful in our overall budgeting. FTEs, visit volumes by day, like I mentioned, using prior year data or prior year's data to drive what's happening in the future. We've gotten really complex formulas around our payer mixes and our patient revenue based on prior year information, prior payer mix, prior year rates per visit with the ability to add increases and decreases in those. We do our allocations all through the adaptive planning system, asset additions, depreciation, projections, even our bash balance sheet and cash flow forecasting all in adaptive, and it has been a a world of difference. That's that's awesome. And I I would imagine we have people from all industries on this call. And you can probably relate though. Right? Lots of models that need to be connected in order to get you that fully comprehensive p and l balance sheet cash flow and other key metric reporting. So pretty impressive list here. You've covered a ton of ground. I'm curious that if if these models that you've created, were they part of the initial implementation or did you implement maybe a shorter list and then add on additional models subsequently? Yeah. So all of this was in our initial implementation, but maybe not to. the level that we are today. Every year, every budget cycle, every scenario that we're being asked to to look at, we make improvements. We we go back and look at, where can we make the formulas more efficient? Where can we improve our output even in terms of one on my list of things that I want to do, but I haven't quite got there yet, to be able to look at at the last year and look at the trends. So we know that because pharmacy supplies are really high in the winter months and lower in the summer months, I wanna be able to. follow that trend. So we're looking at we look at a year, and we just divide it by 12. So in my future, I wanna be able to to follow those trends as well and be able to look back and use that percentage as an identifier of where those expenses should go. I I love you said so many things that I love. One is that you have that ability to plan at more of a granular level. Right? Earlier, you talked about daily, But that you can have these assumptions that are gonna drive more accurate forecast. You're not looking at just the total year, but you wanna make sure that you see that seasonality throughout. But one thing I wanted to highlight is you don't have to implement day one and then live with the output of that implementation. Right? You can adapt as as you learn more. You can decide to improve and add on and and make changes so that your planning is more and more accurate. And I think that you've illustrated that in what you've just shared. Awesome. So let's move forward here. So now that your system's been live for a bit, five whole years, let's talk about the impact you've seen. Can you share a little bit there? Yeah. I mean, just in our daily work, it makes our our lives much easier for those two of us that are are living in that. But, we also have been able to allow our budget managers to really focus on budgeting those biggest impacting factors. Right? They're not really spending a lot of time looking at office supplies because that's pretty small. Right? Our FTEs are, as a service industry, is our biggest source of expense and what drives our revenue. It allows those things to be calculated, and the managers can actually really focus on their workforce planning. What does that look like? The ability to compare versions has been huge when it comes to producing my senior leadership reports. I'm able to give them what the current version is versus what the old previous version was. And because I'm able to see things real time as I make changes, I'm also able to track what that impact is on the budget for every change. that I make. And I'm able to give that to our our senior leaders as well so they can clearly see, oh, when we took out this FTE, it decreased our cost, but it also decreased our revenue. And and that's not what we want, so maybe we wanna adjust that and and rethink what we're doing on on that, aspect. Right. That ability to do those what ifs. I love that. Right. And just really being able to use data integration both in and out of the system, has really helped that. So we bring our actuals in to adaptive planning from our current ERP system. That's what we do all of our financial reporting off of, is that budget and actual straight out of adaptive. We do all of our data from the budgets we push into our data intelligence system to be able to produce information in in our dashboards outside of adaptive. For those that don't have adaptive access, they can still see what's going on. So it's been it's been great in just visibility into the data, being able to, make decisions on those changes that are happening. I love that. And I think you just answered someone's question that would said I would wait to answer q and a, but it sounds like you have a little bit of a hybrid where some managers are interacting directly within Adaptive, but that doesn't stop you from sharing that information to people who may not have access to Adaptive. Did I did I say that. correctly, Amy? Okay. Yep. Awesome. Absolutely. Great. So I know we wanna get into the demo, but one last question before we do that around your your future plans. Right? It sounds like you're always evaluating, trying to make this better and better, for you and changing as as your requirements change. So what are you looking forward to in the future? Yeah. So we're definitely looking to grasp onto those AI tools that are coming out and really learn and understand them and how to use that to improve our budgeting process. I'm really excited about beginning, a rolling twelve to eighteen month forecasting so that when we get to our budget period, it's pretty much done. There's a few things we need to tweak, but we've been assessing it and reviewing it month over month. So when we get to that point, we're we're ready to go. I'm also. really looking forward to having our Workday actual, ERP system in place so that we can do some more, workforce planning integration with with the ERP system. Awesome. That is great. So next up is a product demo. So you can see some of what Amy's been talking about. Nolan, before you get started, do you mind introducing yourself? Yeah. Not a problem there. Can I share my screen, and I'll jump right into my introduction and get right into the demonstration? Alright. Let me share my screen here real quick, and we'll get into the demonstration. But, before I begin here, I do wanna pause and make sure, everyone can see my screen. It should be a slide with. my name and. alright. So my name is Nolan Soffield. I'm a senior solution consultant. I'm based out of the Chicago area supporting the Workday adaptive planning product. Prior to doing Workday, I've spent over two decades in the, the off of office of finance. I've done more month end close, processes than I care to admit. In my last role prior to, my new in terms of what I'm doing today, I was the director of FP and A. I've implemented multiple different systems. I've built different teams, and now I just really enjoy helping individuals and organizations understand how software like Workday Adaptive Planning, can streamline and automate that budget process just like it has for Amy. So with that said, let's jump right in and why Workday Adaptive Planning. First and foremost is ease of use, no coding. And, like Amy mentioned, she's implemented other systems. I've implemented different systems. A lot of what, I ran into in my my time, was it required some sort of coding or syntax that I need to learn and probably have an MBA in to actually master and really be able to own and operate. With Workday adaptive planning, it's really designed around clicks, drags, no coding, no no syntax for the office of finance to own without having to involve any sort of IT administration or consultants on retainer. The second piece is gonna be the Elastic Hypercube technology where Amy talked about being able to quickly and easily see those impacts on her work. That's really kind of the the secret sauce behind the scenes in terms of how fast you can make changes, creates different scenarios, and then see all those adjustments happen in in just a matter of a few seconds. So this is gonna give you the power to model, report, and analyze at where you are today, but also as you scale and grow in complexity. And then finally, extendability. I did see in the q and a someone asking about, you know, can I bring Workday in because they're moving over to Workday from for HR and payroll? Most definitely. You can drill you can pull that data over into Workday adaptive or Workday HCM. But, also, we are source system agnostic. So any data source, any ERP you wanna pull data into Workday Adaptive can be scheduled and automated at whatever frequency you want, daily, weekly, monthly, and you can always kick it kick it off on demand. And why does this all matter to you? Because we want to put the a back into FP and A. So you you've heard a little bit around some of the things Amy's been able to do, putting some of that analysis back in. So we're not so you're not actually doing any sort of data extraction, manipulation Excel to maybe generate a report a day or two down the road that people are gonna start doing that that that analysis around. And because of this, it's gonna allow you to answer your questions, some of know, especially ones that are more complex around, you know, what if we take a price increase? What if we increase certain other assumptions as part of our budget forecast? Typically, in the Excel world, this is gonna take, you know, a day, two days. This is all gonna happen in real time as you're gonna see as part of the demonstration. That's because it's connected modeling, you've got unlimited scenarios, and there is embedded AI. And then finally, it's at performance without performance without compromise, bringing it back to that Elastic Hypercube technology, really delivering power, scale, and flexibility wherever you are in your FP and A journey. And for the agenda, we are just gonna you know, these are general kinda guidelines of what we're gonna touch on today. But first, we're gonna kinda showcase how you can visualize success within Workday adaptive planning through dynamic dashboards, drive insights through various reports. And then we're getting into a little around how you can streamline the the end user, maybe do some inputs, leverage our OfficeConnect functionality for reporting, PowerPoint presentations, and we're gonna sprinkle in AI throughout today's demonstration. So with that said, let's, jump into our demonstration. And I've already logged in here as someone like Amy, a power user within Workday adaptive planning. And what's nice about Workday adaptive planning, depending on your role, you can have people land into different landing screens. So in this case, Amy decided to land into a dashboard. And what I personally like about dashboards is the fact you can do everything and anything within a dashboard. In this case, and I'm sure this never happens to anyone during their budget cycle, you send out emails, people forget about what is the due date. So they end up looking back to emails, trying to find it, sending email to finance, taking them away from things that they should be doing. But in this case, Workday Adapted Plan has that due date right in here. So I'm not having to go back to finance to to understand exactly what that that due date is. But we can also help people understand what they need to do by including some guidelines, so maybe some key items that they need to refer to as part of the budget. And then maybe most importantly is we also have some hyperlinks back into maybe our our company Internet, which includes, some additional guidance around company policy around how do we budget for T and E, capital assets, things of that nature. And then we did talk about that extendability. Across the top here, you can see we are bringing a lot of different data into Workday Adaptive Planning and allowing people to access that based upon their security role their security profile, their role within the organization, so people can quickly and easily start to make decisions as you are going throughout that budget forecasting process, running those different scenarios to see the impact around those different data sources that we've brought in, especially around operational or statistical data. And across the top here, we also have the ability to slice and dice our data. And I know Amy mentioned they were in Excel. And, you know, just real quick here, Amy, as I as I kinda open up the organizational charts, you know, I kinda know the answer here because this was kinda something I did within finance too. When you were creating all those those different Excel spreadsheets and you have a list of you know, an organization as big as we have here in our demo environment, kinda how much time were you spending, you know, having to maintain those different spreadsheets versus having something like Workday adaptive planning here where you've got one model where people can leverage the data they need based on that security profile. Yeah. You know the answer. Yeah. It it would took hours and hours and hours to to maintain all the separate spreadsheets that needed to be maintained. And and how much time now do you actually spend maintaining, you know you know, when you are, you know, creating new new different new new spreadsheets or, you know, maybe add in some new functionality? Like, how much time, you know, compared to the old methodology do you spend today? But depending on what it is that we're working on, it it can still take a little bit of a time, but you're only doing it once. You're not having to map it across different different places, and it depends on, you know, what kind of if you're doing a new formula, if you're adding if you're just adding a an entity where you're trying to add budgeting to it, it's a matter of minutes. Yes. Alright. And then when we do jump into a particular dashboard, you know, there's a lot of different information we bring in. Like I mentioned, we can do anything or anything. So in this case, we have a spreadsheet down or a a sheet down below here where we're we're adding in some labor assumptions so we can quickly and easily run scenarios off of them. But we've also brought in our full income statement balance sheet cash flow here so we can see the full impact as we make those changes. And then as we've talked about different scenarios that we can quickly and easily create. So in this case, it is unlimited, which is really nice versus the Excel process where just creating one version can take half a day or a day. But in this case, if we do want to create a new scenario, I could quickly and easily add that in. So in this case, I'm just gonna create a quick what if scenario here as of, today's date. And with the Elastic Hypercube technology, this is just gonna take maybe three, four seconds here where it's gonna copy all your formulas, recalculate everything, and now I can quickly and easily start to make some inputs and see those effects on my my financial statements here. But, also, as part of the reporting process and and, again, this is something that's always a bit difficult within Excel here where you are having to create a new folder, relink everything, and you're you're worrying about things breaking. As you see with the Elastic Hypercube technology, it included that new scenario directly within my hierarchy here, and now I can run those comparisons. And I know, Amy, you brought this up a little bit earlier around being able to run those additional scenarios and see the impacts really, really quickly. Can you maybe give a little bit more insight around how this has really impacted you and your team's ability to provide to your executives, you know, those those different scenarios as they are requested. Yeah. So, you know, leadership comes up with all kinds of things that they wanna know, what's happening. And so they might ask us what happens if we're gonna change a productivity expectation, or what happens if we're going to expect FTE growth or FTE reductions. And with the ability to just add that in and hit a refresh button to compare the two information, the two different scenarios or versions, you can get a variance number right then and there to be able to to tell your senior leaders. Well, if you make this change, it's gonna cost you this much, but here's your revenue, and it makes sense. Or maybe it doesn't. And we've used it for the kinda go, no go when we're looking at, are we gonna add a clinic, or are we going to maybe do a reduction in force? What's that gonna look like? So let's let's come in here and make one of those changes, in this case, around our our workforce assumptions just so we can see that in action. So in this case, from a from an assumption perspective, we have them set at a global level, but you could do it at a cost center or region, a specific location. In this case, maybe it's been a good year. Instead of 3%, everyone's gonna get a 5% merit increase. And once I make that change, we're gonna we're gonna save it. It's gonna highlight the change that we just made. I'm just gonna roll this back up to our global. I'm gonna minimize it here. And within our report, you're gonna be able to see, you know, that's gonna have a 208 280,000 impact on our on our income statement, the amount on our cash flow statement, as well as our balance sheet. So in real time, with with just a a couple clicks of the button here, like Amy mentioned, we're now able to even come in here and start to collaborate with individuals. So I can add a commentary. So in this case, maybe I need to let Teresa know that, you know, that update has been that update has been completed. It should be notified through email. We do have integration with Slack today on the road map. In the very near future, we're gonna have integration into Microsoft Teams. And then on the analysis side, if we need to, we can quickly and easily drill into any of the details within our dashboard here. So if we wanna understand those transactions that we've integrated in from your source system, we can quickly and easily do that. So that way, people you know, when we are starting to do that analysis, we know what's making up those actual data points to be able to compare them against our budget. And one of the things obviously, this is a great way to really allow your end users to do those budgets, see it in real real time impact, but also as we talk about that AI. And I'm sure, Amy, when you first started doing your implementation, there was times where it took a little bit to remember how to do things within Workday adaptive planning. We've come a long ways over the last couple of years where now we have our Ask Workday Assistant here, where we can quickly and easily use contextual help to maybe understand how do we add a filter into this dashboard if I don't remember, you know, two, three months down the road from from implementation. So it's gonna search through our help documents. It's gonna pull up a response here and then provide some additional source details as part of where we got this information so you could do some additional research into adding in that new filter here. So, it is gonna take maybe another ten, fifteen seconds here, but just think about the amount of time you'd potentially have to spend maybe an hour or two hours researching this. Whereas with Ask Workday, my fingers crossed here, it is going to pop up a nice response to be able to kind of showcase what some of those help documents could be. If not, we're gonna jump over and start to talk about what the end user can actually expect to see as part of their budgeting process. And this is one of the areas where, as Amy mentioned, we wanna be able to limit exactly what people can do their inputs on in terms of those mistakes. In any cell here that's highlighted in gray, doesn't matter how much I bang on my keyboard, we're not gonna be able to overwrite any of that data. But in Excel down and below, we are gonna be using formulas to create those, and these can be as simple or as complex as you need them. But it's gonna be very similar to what we have in Excel here, where we're just gonna reference the number of people that are part of the month, the assumption, but we've also added in some commentary around exactly what this formula is doing so that way, in the future, people know exactly what this this formula is doing as part of that budget or forecast process. And then just from an input perspective, we can quickly and easily just enter data, save it, and then with our argument entered here. And I'm sure, Amy, this doesn't happen to you where people enter data and they forget, where if we do go into our explorer cell, we can leverage our audit trail to be able to see exactly every date and time actually, I need to be on my budget here. Every date and time to be able to see exactly who who's made those changes. So if I drill back into that number there, I can now reference that audit trail to be able to see exactly who's made what changes and when as part of that budget forecast process. So I am kinda curious there, Amy. When it when it comes to that audit trail, I I know it it was always something during my budget or forecast cycles where it's a little bit, you know, sometimes got a little bit difficult to know who made what changes. You know, how how have you been able to maybe leverage, you know, functionality like that around the audit trail? Yeah. I'm I'm hoping some people can hear me because I'm seeing in the chat that not everyone can hear when I'm talking here. But, in in the audit trail, it's been it's been really great because, like you said, someone makes a change, and then you're trying to figure out, why did my number change? And you're able to go back and and see exactly who made the change and when, and even what was the value before you made the change, and you're able to make the correction if necessary, or at least be able to have those conversations with people. And kind of on that note, I'm sure there were submissions that people would send in that would just have some wildly inaccurate number. Is that kind of a fair assumption there, Absolutely. Amy? Yes. And that's where we can start to leverage some of our AI capabilities, especially around anomaly detection that these end users, as they are going throughout the budget or forecast process, can quickly and easily turn on to be able to identify things or inputs that they've done that are outside the historical norms, which can be set up at whatever kind of confidence interval that you would like. So if I hover over one here, we can see what the current value is, what our algorithms that are already built in. You don't have to worry about being a data scientist to leverage them, and then what that upper and lower bound is. So we've got a pretty wide band here for acceptable value. But in this case, you know, we're we're way outside because we know that what this extra expense is. So, we do need to put a note here to say maybe this is a new office opening. And once we've added that comment, we can then come in and unmark that as an anomaly. So, as we go forward, you know, people like Amy that are reviewing it, they can review the note. They can see what it is and understand why this is not marked an anomaly. It's a great way to build some of that collaboration in as part of the budget or forecast process. And I know one of Amy's favorite things is Office Office Connect. So we are gonna jump over here and and get into Office Connect because it's a it's a great way to leverage all those Excel skills that people have today, but also allows you to keep maybe some of those reports that you really like the look and feel of with all your formulas, with all your visualization. And then we can quickly and easily map in any of the data from Workday Adaptive Planning. So as I mentioned, any formulas that you are currently leveraging today can be leveraged as part of these reports, but also any charts and graphs that you may need to include for, like, PowerPoint presentations as well. Let me ask you, Amy. You know, pre Workday adaptive planning, when would come time to, in this case, go from the month of February into the month of March for that new reporting cycle? What's it like my time in FP and A where, you know, that's probably a day, two day process to roll over all those reports, bring all that data in, and make sure everything ties out? Absolutely. It's always been a a manual process, export into Excel, try to get the data, try to pivot it, try to do what you need to do. But, Office I, Connect is probably my my favorite feature for, like, day to day activity and month to month reporting. Yep. Because it is really easy to be able to roll this over, we're we're gonna come in here. We're just gonna take this from the month of February to the month of March here, and then we're just gonna refresh all of our sheets. And once we've done that, everything across our data for our headers are all gonna get pulled in automatically. But, also, if I were to come over to my PowerPoint deck that we have here as part of, you know, our monthly package, I can quickly and easily refresh this data. So you can see here my title changed. All my charts and graphs have automatically updates. So those board presentations, again, something that might take a day or two, you know, is now updated with just a click of the button as part of that month end close process. But some of the other functionality within OfficeConnect here, any data point, just like we did a little bit earlier on, we can actually drill into this particular number. It's gonna brought me over to my other screen here. It's gonna bring me into my browser where now we can drill back into those details just like we did a little bit earlier but from Excel. So that way, I'm not having to hop back into the browser to to drill into any of those transactions. And if we need to expand, you know, certain categories, so if we wanna see underlying accounts here, we can quickly and easily expand our pre payroll, roll up to now see the underlying accounts. If we need to bring in any additional data, like we mentioned, no clicking, no coding, I can quickly and easily find that within, my hierarchy here. I can highlight my taxes and my office expense and then to drag them and drop them. And then, again, I can just refresh my sheet as part of that and pull in those data points. Very easy to bring additional data into any sheet report. Now one of the things Amy and I talked about before is, you know, obviously, we can plan within the browser, but we could also plan within Office Connect as well. And that's very easy to do here. I'm just gonna add in a new sheet real quick where we're gonna log into planning, and I get I can select any of my different different sheets that I might want to include. So in this case, maybe my expenses here, I can quickly, easily make that that update. I can come to my hierarchy, select what I want, and then I can quickly and easily add in any data. So in this case, maybe I just need to update that to a thousand. It's gonna be highlighted in blue. And then I go ahead. I can submit this back into the browser. And if I do hop back into, my browser back over here and I just give this a quick refresh here, we're now gonna be able to see that thousand dollars is gonna pull into our new new hire work training. Make sure I've entered that into the right one. Working budget. Did I save it? Yep. Let me give that a quick refresh one more time. And it should. Oh, I know it is. I'm I've been a different tenant when I logged in. So two different places that are entering data there. Do apologize about that. But it's a great way to do some of that input. And, Amy, I know that's something that you find very useful as part of your day to day budget forecast process. Anything else you wanna kinda add in when it comes to OfficeNet, especially around the the planning side of things? Yeah. You know, we we use this a lot when it comes to, again, people that don't necessarily have access to, adaptive or people that just aren't really familiar with it. Like, if I need my accounts payable person to take a look at some expenses, I don't necessarily expect her to be able to go into adaptive and and run it. So I'll run a a detailed expense list for her to to look at and look compare budget versus actual for last year with the upcoming budget for next year. And we even use the write back fixture for our payer mixes. So we'll look at last year's payer mix, and I'll bring that into the Excel. And I'll use a formula to to calculate what I think it should be, and then I can write the value of that that formula the result of that formula back into the system. And it it just really makes things a lot easier when you're looking at massive amounts of data across massive amounts of the individual entities that you're budgeting against. Yeah, that's some great insight. And I know we only have a couple minutes left here, I do want to highlight some of those some of that new functionality that we do have coming on our road map here, especially around the AI capabilities because I know you're excited about some of what we have on deck here. And that really comes to our data exploration and our variance agents where we can really start to help streamline the the month end close process, to be able to start to ask questions of our data. So in this case, maybe we want to identify some variances or some maybe do a quick identify some of those variances within our report here. So in this case, we can see that we've identified some of those. And if we need to, we can quickly and easily start to analyze that. So in this case, what what's driving, you know, this 1700%, variance versus prior year, for the month of March? And now we can start to drill down. We've got some additional detail here where it's coming from. So we can see sales north is driving, $2,600,000 worth of variance. So now we can start to really target where we want to do that analysis. So for those people that might not be the most Excel, knowledgeable or, you know, they look at a report like this and get overwhelmed, they can quickly and easily start to identify those areas. This is also PowerPoint ready, I can easily auto generate a presentation here, and then start to leverage some of that capability to use this in maybe another presentation that I need to do. So, obviously, it needs a little bit of you know, they're not gonna be presentation ready right out of the box here, but, you know, you can start to add in some of those details as well. And if I do hop back in here real quick, I'm just gonna just do a clear out of the report here. And if I do wanna also maybe do some narrative around this particular report, I can summarize it. So, this is another great way for end users to create some overview of exactly what is happening within the reports on a month to month, quarter to quarter basis. Now while this is summarizing this report here, Amy, real quick, to to kinda wrap up the presentation, do kinda wanna understand, you know, how you might be looking to leverage some of the capabilities around AI as part of your budget or forecast cycle. I I think you just showed a really great example. Because when my managers are in looking at their information, right now, it's, it's a big manual process to to figure out, okay. Now I need to drill in or I need to go look at a different report or I need to go look at my financials, or my accounts payable invoices to figure out what's really going on. And so just being able to use the AI tool to drill into what's really going on and feeding information is gonna be really helpful. And now that we do have that summary, it does give a nice recap for those individuals as well. I mean, this is something where those types of individuals may take a whole day to put this together, but it took maybe thirty five, forty seconds for Ask Workday there to churn through all of our data and then provide those insights. And what's so, interesting, that wraps up. Oh. I was just gonna add on that, hopefully, people understood this. That that response in Ask Workday, it actually drove way beyond what's showing on this report. Right? It looked at everything in that Elastic HyperQ to deliver its response. So maybe it's, you know, something driven by volume sold or whatever that might be, number of patients. And that's not showing up on this report. That doesn't mean it's not used in that analysis, which I think is extremely powerful. Yes. Alright. So I I know we have some q and a, so I'm gonna stop sharing my screen so we can walk through some of that q and a. Yes, I think we have a couple of great questions. There were a few around this, so I'm gonna paraphrase, But how long did it take you to fully build out an effective model, Amy? When did you first start getting value out of your adaptive model? Yeah. So, you know, we started implementation, in '21 for the '22 2022 budget year. And, if I remember right, it was between two and three months, but that's because we wanted to make sure we got it right and we had the right information in, and we really wanted that daily budgeting. And so that took just a little bit more time because we had to to build things a little more complexly than maybe others would need to. But, you know, once we we got through that implementation phase and had all of our entities in and knew what we wanted to do with our formulas, we were able to use it right away for that next budget cycle. Yes. And I think that's I I'm hoping everyone can hear me and you, Amy, in your response. I saw a little bit in chat here. It really does depend on what you're planning to do. I've seen many of our customers begin to use it very quickly for, say, reporting. That's the first need they have. Then they build out maybe an expense model that includes headcount planning. And then perhaps they build out revenue modeling so they can continually add to the value they're seeing. So it's all about your own path and where you wanna take it. But as part of this process, we can give you great estimates on exactly what it will take to get you to the phases or through the phases that you identify. Awesome. I know we're we're right on time. I think that maybe we could add, or ask just a few more questions here from this list. Let's see. How many how about resources in terms of implementing? Can you talk a little bit about what that meant for your team and who is dedicated helping this out initially? Yeah. So on the NeighborCare side, it was me. I I did it I did it all, with a little bit of help from my senior accountant, but, you know, we have a small team, so it was. me. Yeah. Excellent. So, you know, certainly, every customer is different again. Sometimes a whole team, team that includes people outside of FP and A as well. Sometimes it's one person like Amy. Someone asked a question about locking down budgets. Is there a way to totally lock down budgets? Would I be able to tell who the last person was to make changes and what they made changes to at a summary level instead of a granular level like you showed? Nolan, is that one you you wanna take for us? I apologize. I was responding to a couple of people in, the chat. thank you for doing that. question was there a way to totally. lock down budgets? Which I'll just answer. Yes. Absolutely. Would I. be able to tell who the last person was to make changes and what they made changes to at a summary level instead of at a granular level you showed? Yes. Yes. So you can actually run a query to. be able to see every change that was made throughout the budget cycle, and then you could export it, sort it, do analysis on it if you wanted to. And and there were a couple of questions too about being on other solutions, like, for finance or for HR and using that data. So, certainly, adaptive can be implemented as a standalone. You do not need to use any other Workday product to allow you to get lots and lots of value out of Workday adaptive planning. But we certainly have a special relationship with other Workday products where you can pull in that data. That data is accessible, your financial data, your HR data, readily accessible to help build and, inform your planning model. Oh, Nolan, did I cover that okay, or is there anything you wanna add there? I think you hit it. Awesome. pretty pretty well spot on. else see any questions that we should cover? I think that's pretty good. I You definitely can set budgets at, the department. level for the manager to budget within or target I mean, if you meant targets, yes. You can set targets, but they can set, budgets there. And it Judith, yeah. we can definite I I definitely if we have your contact, we'll definitely follow-up, but I I believe that answer is yes. But I do wanna confirm. Yep. We have made, Office Connect has been huge. Just like Amy said, many people call it their favorite feature set with adaptive. We have expanded that recently working on getting Office Connect working on Macs. You could always have used virtual I can't remember what they call it with Mac, but we are expanding that. But also Google Workspace. Now when you wanna talk about our ability to do what you just showed using Office Connect with Microsoft Office projects products. Sorry. But on the the Google Workspace products. Yeah. So like, Linda mentioned, OfficeConnect is, available. We're we're not calling it OfficeConnect because, obviously, it's Google. But everything that we we walked through today in terms of creating reports, doing inputs, presentations within Google is available today to be able to do have that same functionality. With one big, addition that all of that capability of the chat appearing, that's also available within the Google Workspace. Okay. So thank you very much. But I think we're at the tail end, Amy.
